Tracking and evaluating department data weekly, monthly, quarterly, and annually are integral aspects of this role.

What is expected in this role:

  • Driving the complete team strategy and direction in collaboration with the Director of DBQ Operations.
    • Owning the goals, the metrics, and team structure for Client Review.
    • Working in tandem with the Director of the department and the supervisors to ensure complete alignment across the teams.
  • Leading the respective team supervisors for their teams’ success and owns overall department success.
    • Coaching, mentoring, and tracking each of their teams’ performance ensuring alignment with the overall departmental goals and company strategy.
    • Owning any supervisors' timecards and PTO approvals and serving as a backup for the overall team when a supervisor is unavailable.
    • Setting team goals and tracking towards team success, along with owning each supervisor's development and overall group development for Client Review skills.
    • Acting as the lead in interview and onboarding processes for all new team members.
    • Overseeing the overall performance management process across the department.
    • This can include coaching conversations, reviews as needed, and addressing any performance concerns.
    • Ensuring the total team follows all processes and procedures related to Operational Programs and safeguarding personally identifiable information and protected health information across the team.
  • Serving as REE Medical’s Disability Profile Assessment owner and operational expert across Client Review.
    • Owning DPA content accuracy, quality, and workflow application to support complete and accurate case readiness.
    • Driving process optimization and standardization across DPA requirements that improve throughput, Veteran experience, and operational efficiency.
    • Maintaining expertise in DPA workflow dependencies, case progression, operational handoffs, and requirements for Generation readiness.
    • Owning the inquiry process for Client Review and DPA related questions. Ensuring timely feedback to teams requesting information or updates across all platforms.
  • Manages and reports on team compliance within REE Medical’s policies and procedures.
  • Owning weekly department meetings and bi-weekly staff check-ins to disseminate essential information and updates.
  • Holding supervisors accountable to their team 1:1s and serving as a backup when supervisors are unavailable.
  • Eliminating roadblocks across the teams respectively.

How success is measured in this role:

  • Completion of weekly meetings: Hold department 1:1s with supervisors and bi-weekly meetings with Client Review teams. Lead or support cross department meetings to enhance collaboration and process improvement. Completion will be measured against the ideal total meeting count per quarter.
  • Department Timeline: Maintain Client Review throughput timeline of 15 business days or less.
  • Kickback Rate and Documentation Quality: Maintain kickback rate and documentation accuracy within department standards.
  • Productivity Metrics: Maintain Client Review hourly productivity averages within department standards.
  • Call Queue and Service Metrics: Maintain call queue answer rate, abandon rate, and service performance within department standards.
  • Overtime: Maintain overtime to 5 percent or less of total department hours.
  • Production Metrics: Ensure the department meets Disability Profile Assessment volume and Veteran service outputs as determined by Executive Leadership.

Requirements

What you need in this role to be successful:

  • Bachelor’s degree required. Equivalent experience will be considered for candidates with 4 or more years in a related operational or leadership position.
  • Supervisory experience with a team of 4 or more. This may be internal to REE or with a prior employer.
  • Experience within medical operations, healthcare administration, claims review, clinical documentation, or disability related services. Experience within the VA disability industry is a plus.
  • Remote leadership experience is preferred, including coaching and developing staff in a virtual environment.
  • Demonstrated ability to lead through change, shifting priorities, and evolving business needs.
  • Excellent analytical, project management, and problem-solving abilities, capable of handling multiple priorities in a fast-paced environment with a focus on continuous improvement and operational efficiency.
  • Ability to think strategically while maintaining a detail oriented, self-motivated, and well organized approach.
  • Strong interpersonal and communication skills for effective collaboration across departments and leadership levels. Ability to navigate difficult conversations with clarity and empathy.
  • Proven ability to meet goals, drive outcomes, and develop high performing teams. • Highly organized, able to manage multiple inputs, and comfortable working in ambiguous situations.
  • Proactive and forward thinking, anticipating risks and opportunities before they occur.
  • Strong written and verbal communication skills, with experience communicating in remote first environments.
  • Experience working in fast paced operational settings. Startup or early stage environment experience is a plus.
  • Ability to work under pressure and meet goals; a positive mental attitude is essential.
  • Nursing or medical background is a plus.
