Planned Parenthood Los Angeles is seeking an experienced Chief of Staff and Board Relations. This position will provide strategic counsel to the President and CEO, as well as, create and maintain cross-departmental relationships to enable leadership success. This position is responsible for coordinate and manage essential activities of the organization. In addition, this position will manage the Board of Directors under PPLA and PPAP by planning and executing the Board meetings and Board committees.

Our Ideal Candidate will have the following qualifications:
- Abortion patients are cared for at each of our health centers, and in part through the administrative, support, and other non-clinical services provided at all PPLA locations, and by all PPLA employees. Supporting these critical services is an essential job duty, and a fundamental responsibility of all employees and contractors.
- Bachelor’s degree in Business Management or related field or equivalent work experience required
- MBA preferred
- Past Chief of Staff experience or a minimum of 10 years in a leadership role required
- Advanced Windows, Power Point, and Microsoft Office application skills
- Ability and willingness to travel within Los Angeles County.
- Reliable means of transportation for onsite and off-site work.
- If using a personal vehicle to drive for work purposes, a valid CA driver license and current auto insurance in compliance with the minimum requirements of CA vehicle code are required.
About the position:
- Sets the Executive Office strategic priorities: Helping identify where they must direct their focus and identifying metrics for success. Revisits regularly and evaluates progress.
- Strategically managing the President and CEO’s time: Working with others, looking at long term travel calendar, evaluating opportunities and determining fit with priorities.
- Meeting preparation and follow up: Reviewing upcoming meetings to ensure all necessary information is at hand, sending out agenda or documents to meeting attendees as appropriate. Manages the meeting’s cadence ensuring time is well spent and objectives achieved.
- Monitors information flow: Sometimes acting as the “gatekeeper”, ensuring the President and CEO’s involvement in a project or decision at the right moment.
- Office of the President and CEO team management: Hires and directly manages others in the office, as well as, overseeing the work of others who collaborate on projects.
- Creates and updates dashboards and other key analytical tools as needed. Researches, benchmarks, analyzes data and makes recommendations.
- Brings together multiple stakeholders to drive decisions.
- Performs administrative duties including scheduling, managing calendars, travel and/or off-site venue arrangements, record keeping, and expense reimbursements.
- Upholds our organizational values and ensures adequate understanding of PPLAs policies and practices.
- Generates creative solutions; Translates concepts and information into usable data and/or images; uses feedback to modify design.
- Supports messaging for the President and CEO on various topics, to diverse audiences using the appropriate vehicle.
- Informs and keeps the President and CEO updated on any activity, news, legal regulations or media regarding the advancement or risk to PPLA’s mission.
- Manage internal and external communications originating from the President and CEO’s office
- Manages 15-30 members of Board of Directors (PPLA & PPAP). Develops and implements annual calendar as well as workplans for all meetings of the Board and the Board level Committees. Ensures Board members are informed of scheduled meetings well in advance and have received well-organized Board packets on a timely basis.
- Manages the planning and execution of Board meetings and Board committee meetings, retreats, and orientations.
- Supports the Nominating Committee among others and keeps track of relevant information about Board Members, as requested by the Committee, including, for example, expiration of terms of Board members.
- Maintains and updates Board and committee information, e.g. Board directory, Orientation Manual, member files and monthly board reports.
- Produces minutes for all Board meetings, all Board Committee Meetings, and all internal meetings involving the President/CEO.
- Coordinates all communications with Board Members necessary to conduct the business of the agency, such as coordinating committee meetings, soliciting information needed for clinic licenses, and any other contact with Board members designated by the President/CEO.
- Performs any other duties related to Board relations as may be assigned by the President/CEO.
