You will be responsible for running our facilities and creating a safe and efficient work environment that improves business performance and optimizes staff productivity. Responsibilities:
  • Managing and overseeing the company's day-to-day administrative operations.
  • Proactively managing and improving the efficiency of the organization's operations, overseeing facilities operations, managing budgets, directing routine maintenance, managing risk, managing contractors, overseeing security, and conducting site inspections.
  • Scaling offices and factories - searching for new locations, negotiating with vendors, and signing contracts.
  • Lead the firm’s local procurement efforts. Negotiate and manage significant vendor contracts to create cost-effective delivery of high-quality office operations, products, and services.
  • Identifies requirements and ensures appropriate action is taken to meet the maintenance needs in all locations.
  • Direct maintenance operations by identifying requirements, forecasting resources, provide oversight for minor construction projects, capital improvement projects, and daily repair tasks.
  • Managing construction operations, schedules, and budgets, dealing with any unexpected costs.
  • Assured timely completion of all tasks by providing direction to supervisors, technicians, engineers, and suppliers.
  • Collaborates with all management staff to identify and deliver the required administrative support operations for the organization.
  • Streamline operations, ensure that administrative functions run smoothly, eliminate wastage, and improve our organization's financial standing through accurate expenditure monitoring and budget forecasting.
  • Ensure the smooth and adequate flow of information within the company to facilitate other business operations.
  • Developing strong relationships with cross-functional teams and departments.
  • Supervise staff performance, helping subordinates with coaching and guidance to ensure their maximum efficiency.
  • Ensures safe, secure, and well-maintained facilities that meet environmental, health, and security standards.
  • Qualifications:
  • Proven work experience in administration, including a supervisory capacity.
  • Thorough understanding of, or ability to quickly learn, the office equipment, record keeping systems, management information systems, and related protocols used in the organization.
  • Excellent knowledge of financial and facilities management principles.
  • Strong communication and organizational skills to build and nurture strong relationships with different stakeholders and vendors.
  • Strong ability in analytical thinking, teamwork, managing, solving problems, and negotiation skills with a drive for results and a high sense of responsibility.
  • Comfort in a dynamic and fast-moving work environment with a product mindset.
  • Ability to adjust and adapt to the rolling, day-to-day changes that transpire in the running of large projects.
  • Excellent at both verbal and written communication.
  • Completed higher education.
  • Business fluent knowledge of Ukrainian and English.
