This blended, campus-based role splits focus between coordinating Medical Assisting externship placements and delivering career services and employment placement support for both Medical Assisting and Nursing students and graduates. The Career Services Advisor & Externship Coordinator prepares students for the job market, provides high-touch coaching, and supports the transition from training to employment.
A key part of the role is building and managing local healthcare employer partnerships that serve two purposes: externship site development for Medical Assisting and hiring partnerships for both Medical Assisting and Nursing talent. This role uses a proactive, relationship-driven outreach approach and manages the end-to-end partner lifecycle from prospecting through onboarding and ongoing account management.
- Coordinate timely Medical Assisting externship placements with approved sites, confirming student readiness and site availability so students can begin the externship module on schedule.
- Complete externship coordination activities including site onboarding, student orientation, and communication of expectations to students and site supervisors.
- Confirm completion of required immunizations, clearances, and documentation prior to placement, in alignment with site requirements and institutional policy.
- Monitor student attendance and progress toward completion of required externship hours and documentation; follow up with students and sites to resolve issues promptly.
- Conduct site visits and/or structured check-ins as appropriate, including mid-point and final evaluations, to support student learning, address concerns, and confirm completion requirements.
- Collaborate with program leadership, faculty, and campus teams to align externship readiness, student support, and employer expectations.
- Ensure externship and student records meet accreditation, regulatory, and institutional requirements, including proper documentation, confidentiality, and file completeness.
- Provide individualized career coaching to Medical Assisting and Nursing students and recent graduates, including resume and cover letter development, interview preparation, job search strategy, and professional communication.
- Facilitate job readiness sessions through workshops, classroom presentations, drop-ins, and campus events to build professional competencies aligned to entry-level healthcare roles.
- Partner with students and graduates to create practical job search plans and provide consistent follow-through through graduation and early career transition.
- Support employment placement for Medical Assisting graduates who do not secure employment through their externship site; also support Nursing students and graduates with job search, referrals, and hiring processes aligned to local employer needs.
- Identify job leads and respond to job orders; screen and match candidates; submit qualified resumes; coordinate interviews; and support hiring managers through selection and onboarding steps.
- Provide post-placement follow-up and coaching to support retention, professionalism, and successful transition into the workplace.
- Maintain accurate, timely records in the Student Information System and related tools, including student engagement notes, employer contacts, job leads, and placement activity; protect confidentiality and data integrity.
- Build, maintain, and expand a network of healthcare employer partners that support Medical Assisting externship placements and employment hiring pipelines for both Medical Assisting and Nursing programs.
- Execute the full partner development lifecycle including prospecting, outreach, discovery and needs assessment, program and talent presentations, securing commitments, onboarding, and ongoing account management.
- Develop and maintain relationships with hiring managers, recruiters, and HR partners; communicate candidate readiness, scheduling considerations, and program expectations to drive effective matches.
- Coordinate employer engagement activities such as hiring events, employer information sessions, on-campus or on-site interviews, and advisory board participation as needed.
- Represent the campus professionally with community partners and employers; participate in job fairs and community outreach activities as appropriate.
Pay Range
The hourly pay range for this position is Min $32.00 Mid $34.00 Max $36.00
*Typical hiring range is between the minimum and midpoint of the above pay range. Actual starting base pay may vary based on factors such as education, experience, skills, location and budget.
- Required: Minimum of three (3) years of hands-on Medical Assisting experience that supports qualification to serve as the externship instructor of record under applicable accreditation guidelines and institutional requirements.
- Associate’s degree or higher preferred; equivalent combination of education and related experience will be considered.
- Experience in career advising, externship coordination, student coaching, recruitment, employer relations, community outreach, workforce development, or similar roles preferred.
- Experience in healthcare, staffing, recruiting, sales, or business development preferred; ability to manage a partner pipeline and secure externship and hiring commitments.
- Familiarity with healthcare employment pathways and hiring processes preferred.
- Comfortable with proactive employer outreach and job development, including cold outreach, relationship building, and follow-through.
- Strong organizational skills with the ability to manage multiple priorities, deadlines, and detailed documentation.
- Excellent communication, interpersonal, and customer service skills; ability to build trust with students, employers, and internal partners.
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint); comfortable using a Student Information System, CRM, or data tracking tools.
- Valid driver’s license, reliable transportation, and ability to travel locally for externship site visits and employer meetings.
