Campaign Coordinator (Media Agency) Our client is a growing media agency looking for a highly organised Campaign Coordinator to support the delivery of advertising campaigns across multiple channels. This role is focused on operational excellence: keeping campaigns on track, documentation tight, and deadlines met. You’ll play a critical role in ensuring campaigns are executed smoothly by managing schedules, deliverables, timelines, and campaign records. This is an ideal role for someone who thrives on structure, detail, and follow-through. What you will do:
  • File, organise, and maintain media schedules across all active campaigns
  • Create and manage client deliverables lists, including assets, formats, specifications, and deadlines
  • Track campaign timelines, milestones, and due dates to ensure nothing is missed
  • Proactively flag upcoming deadlines, risks, or missing information to the team
  • Maintain accurate, up-to-date campaign trackers and workflows in Notion
  • Coordinate and log receipt of creative assets, approvals, and confirmations
  • Quality-check campaign details for accuracy, including dates, formats, placements, and specifications
  • Support campaign launch readiness by ensuring all requirements are completed on time
  • Collect and organise proof of placement, screenshots, photos, and completion documentation
  • Assist with post-campaign wrap-up documentation and reporting inputs
  • Keep campaign files, naming conventions, and documentation consistent and well organised
  • Identify gaps, inefficiencies, or risks in campaign execution and suggest process improvements
  • Support the ongoing improvement of templates, checklists, and workflows within Notion
  • What you will do
  • Strong organisational and time-management skills, with the ability to manage multiple campaigns at once
  • High attention to detail and a proactive, problem-solving mindset
  • Experience in media, advertising, marketing operations, or project coordination (preferred)
  • Confidence working in Notion is a must
  • Clear written communication skills and confidence following up on outstanding items
  • Reliable, responsive, and comfortable working remotely with a distributed team
  • Tools & ways of working: All campaign management is handled in Notion, so comfort working with structured databases, task boards, and templates is essential. You’ll be collaborating remotely, so clarity, consistency, and accountability are key.
