Duties & Role:

  • Providing critical and proactive administrative support to AFAP Programme Manager;
  • Actively participating in Project Board Meetings, Steering Comities, taking minutes of the meetings and leading any allocated task (including Project Management functions for small scope projects);
  • Acting as Project Support Officer (PSO) for the Agency Functional Alignment Programme (AFAP), ensuring timely execution and contributing to programme objectives across multiple NCI Agency locations;
  • Streamlining AFAP administration through creating and maintaining online collaboration platform in SharePoint, resulting in improved information flow and enhanced team organization;
  • Coordinating complex facility transitions and relocations, ensuring timely and efficient establishment of new operational environments.

 

Specific Working Conditions: The incumbent will have to work in "construction site" type of environment for the initial part of his/her contract. Office conditions will apply when not in the new infrastructure locations. The individual is requested to work at least 2 days on site per week. Changes may happen during contract execution, based on project developments and evolving business requirements.

Requirements

Skill, Knowledge & Experience:

  • The candidate must have a currently active NATO SECRET security clearance
  • (Mandatory) 5+ years working experience in programme/project context in support to Infrastructure and Transition activities within NATO context;
  • Extensive experience in supporting the delivery of complex infrastructure projects and initiatives;
  • Proven experience in coordinating multiple relocations and transitions projects;
  • Experience in liaising with diverse stakeholders and working within multinational environments;
  • Knowledge of the administrative tools and platforms such as Service Now, SharePoint and Business Applications (EBA and SAP);
  • Synthesis and analytical skills: ability to analyse and simplify complex information, organize and translate it to action;
  • Ability to independently lead coordination and negotiation with internal and external stakeholders within the boundaries set by the Programme Manager;
