Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who The Client Is: They operate in the food and catering industry, offering coffee, catering, and event food services with a range of menu options such as morning tea, lunch, salads, finger food, and beverages. They provide online ordering for various packages and specialized catering needs for functions and events.

Role Overview: The Business Operations Assistant is a mission-critical support role responsible for managing core day-to-day operational tasks that directly impact customer experience and revenue. This role supports inbox and enquiry management, catering order coordination, scheduling, invoicing, and internal systems administration. This is a long-term, full-time position suited to someone who values stability, reliability, and process-driven work, with future opportunities to grow into a team leadership role.

Key Responsibilities: 

  • Manage shared inboxes, ensuring all enquiries are responded to promptly, professionally, and accurately.
  • Handle catering enquiries end-to-end, including answering questions, preparing quotes, scheduling orders, invoicing, and following up.
  • Manage catering software, scheduling tools, and internal systems to ensure orders are processed correctly.
  • Prepare and issue invoices, track payments, and support billing follow-ups as required.
  • Maintain accurate records of customer enquiries, orders, and communications.
  • Answer incoming calls once fully onboarded, providing clear information and routing enquiries appropriately.
  • Coordinate closely with internal stakeholders to ensure smooth execution of catering orders.
  • Assist with entry-level marketing tasks during slower periods, including email script preparation, lead data entry, and CRM updates.
  • Support lead nurturing activities and general administrative projects as assigned.
  • Participate in daily stand-ups and provide status updates to the reporting manager.

Requirements

Required Skills and Qualifications:

  • 2+ years of proven experience in administrative support, operations assistance, or similar roles.
  • Exceptional attention to detail and accuracy, with a strong sense of ownership over work quality.
  • Strong written and verbal English communication skills.
  • Ability to manage multiple systems, including inboxes, scheduling tools, invoicing software, and CRM platforms.
  • Highly organised, consistent, and reliable, with the ability to follow processes precisely.
  • Comfortable working in a mission-critical environment where mistakes have real business impact.
  • Willingness to handle customer enquiries and transition into phone-based support when required.
  • Able to work exclusively in this role with long-term commitment.
  • Values stability, structure, and security over rapid role changes or short-term progression.
  • Comfortable reporting to a manager and participating in daily operational check-ins.
  • Reliable internet connection and a professional remote work setup.
