BioAgilytix is seeking a highly organized and detail-oriented Business Development Coordinator to join our team in Hamburg, Germany. This role plays a critical part in supporting our business development initiatives by managing study administration, coordinating client communications, and overseeing data and contract management. The ideal candidate will have strong organizational skills and a solid understanding of scientific principles, ensuring seamless collaboration between internal teams and external partners in a fast-paced, regulated environment.
Note: This candidate must reside in Germany. Candidates outside Germany will not be considered at this time.
Your day-to-day activities will include:
Assists with adjusting proposals and amendments into CRM (SalesForce)
Assists with tracking opportunities that are being created for new proposals
Assists with the organization of activities required to achieve data submission/client deliverable timelines for multiple projects and clients.
Actively collaborates with Bioanalytical Project Managers (BPM), other Operations team members, Quality Control (QC), Quality Assurance (QA), and Finance to facilitate any follow up needed for proposals; assists with locating POs needed for Finance
Responsible for client call scheduling, client call meeting minutes, organization of action items from client calls, and other general client coordination
Attends ad-hoc current project calls
Responsible for reviewing and making suggested revisions of contracts for research teams, including but not limited to Confidentiality Agreements, Materials Transfer Agreements, Consulting Agreements, Master Services Agreements, and other business agreements
Serves as a liaison between internal business partners on contract-related inquiries and contracting processes involving external vendors and clients
Joining client QBRs/Governance meetings for BD support
Works in close collaboration with cross-functional teams and external vendors on contract maintenance, renewals, and terminations
Understands, administers, and seeks to improve the Company’s contract management process including but not limited to preparation, review, negotiation, retention, and filing of routine agreements and related documents
Ensures fully executed contracts are properly entered into the contracts management database and updates information, as required
Prepares summaries of key contracts for ongoing tracking of financial, reporting, insurance, and other obligations
Works closely with members of Finance and other departments to assist in ensuring compliance with cross-functional policies and procedures
Supports and manages sponsors/prospects/clients Requests For Information (RFIs) and Request for Proposals RFPs using internal documentations and internal experts to meet deadlines.

Demonstrated proficiency in the use of Microsoft Office (Outlook, Excel, Word)
Ability to work across multiple platforms, including but not limited to SalesForce, NetSuite. Scientist.com, and others
Strong organization skills; basic understanding of contracts and project coordination required
Excellent interpersonal, oral, and written communication skills
Versatility, flexibility, and willingness to work within constantly changing priorities; ability to work in a fast-paced team environment where multiple proposals and project management must be completed in a timely manner
Ability to take direction well; Ability to work proactively and independently
Ability to deal effectively with diverse individuals at all organizational levels
Demonstrated commitment to organization goals and priorities
Minimum Qualifications and Competencies Preferred:
Bachelor’s degree in biological science (biology, biochemistry, immunology, biotechnology), business administration, or related field
Not less than two (2) years’ experience working with clients and project management
Working Environment
Hybrid – 60% on-site
Routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets
