The Building Services Manager is tasked with maintaining smooth operations of the building while ensuring a safe and functional work environment for office and lab areas. They will be the main contact for building-related matters and planned maintenance activities. This will be accomplished by coordinating external contractors effectively in collaboration with the landlord, Site Operations, and other teams located at Guildford. Key Responsibilities

Internal Responsibilities

  • Oversee the daily operations of building services including collaborating with the Landlord when necessary, e.g., raising work permits
  • Handle the frontline building management system (BMS) and guide the resolution of building services "help-building" tickets by leading the Site Maintenance Team effectively
  • Coordinate PPM and reactive management on-site through the Site Maintenance Team
  • Support the operations team in proactively working to deliver continuous improvement projects related to infrastructure improvements
  • Oversee project management of fit-outs, renovations, etc., in line with business requirements, providing technical support and oversight for projects and equipment replacement as required
  • Manage related quality procedures and policies
  • Efficiently handle related paperwork (such as contracts, commissioning documentation, quality and health and safety) within SharePoint Online
  • Provide internal site-related communications/updates when required

External Service Partners

  • Coordinate support service contracts and interactions with external service providers, including participation in monthly contract meetings and making sure they fulfill the agreed service levels
  • Manage key laboratory service contracts including, but not limited to, water purifiers, dish/glass washers, balances, pipettes, LEV equipment (such as fume cupboards), laboratory gases, gas regulators, and centrifuges
  • Select and procure works, goods, and services, and subsequently manage maintenance/engineering contractors on-site
  • Develop and put into action policies and procedures for external services to ensure efficiency and adherence to company health and safety standards and regulations
  • Conduct regular audits and inspections to ensure the quality of services provided meets or exceeds expectations
  • Ensure housekeeping and cleanliness are delivered to the highest standards during maintenance work
  • Assist the Team Leader in revising finance documentation (Capex & Opex)
  • Prepare and receive goods orders in collaboration with the Facilities Coordinator

Landlord

  • Collaborate with the landlord to ensure servicing of the communal infrastructure and any connections with LGC systems or infrastructure
  • Manage the ongoing relationship with the landlord, serving as the first contact for mechanical services like electrics, HVAC, and utilities. Ensure important metrics and service levels are established and monitored, with any issues resolved promptly.

Well-being and Safety

  • Maintain health and safety standards within all areas of responsibility by performing regular site walks/inspections and verifying compliance of pressure vessels/laboratory gas systems
  • Be part of the incident control team for the Guildford site, support site evacuations, and fire drills
  • Manage related contractors visiting the site (site rules, risk assessments, etc.), review RAMS for maintenance projects
  • Join monthly QSHE meetings and aid the SHE team in preparing risk assessments
  • Perform environmental management duties in collaboration with the SHE team, for example, handling the trade effluent licence and being the responsible person (in Guildford) for Legionella monitoring.
  • Oversee completion of discharge consent paperwork

Site Operations Team

  • Lead, manage, and develop the Site Maintenance Team, encouraging a culture of excellence and steady progress
  • Provide support to the Team Leader and cooperate with the Soft Services Manager on site-based projects involving continuous development
  • Provide support on activities related to site procedures, business continuity, and associated documentation

Knowledge, Experience and Technical Skills

  • Strong project management experience within building services
  • Previous operational and contract management experience focused on service delivery to time and budget
  • Strong understanding of health and safety, environmental, and building regulations
  • Experience with Building Management Systems (BMS)
  • Practical understanding of laboratory infrastructure, related plant room equipment, and medical gases preferred
  • Extensive engineering and/or building management background preferred
  • Good IT skills, including Microsoft Office 365 and SharePoint
  • Familiarity with AutoCAD is preferred
  • Experience managing a small team desirable
