The Opportunity

 

BluMetric Environmental Inc. is seeking a full-time Intermediate Bilingual Office Administrator (OA) to join our team. This role works closely with Office Administrators across multiple office locations to support seamless and efficient operations.

 

The position includes a broad range of administrative responsibilities such as formatting, compiling, and printing reports; managing phone calls through our VOIP system; monitoring multiple Outlook inboxes; responding to inquiries; and coordinating events for the Ottawa office. This is an on-site role that offers the opportunity to contribute to a dynamic, collaborative, and high-performing work environment.

Job Responsibilities:


  • Support and help oversee daily office operations to ensure a smooth and efficient workflow.
  • Format, compile, and assemble English and French reports and documentation from various offices in accordance with company standards.
  • Provide administrative support to the Office Administrator (OA) team as a shared resource for staff across multiple office locations.
  • Prepare and coordinate deliveries to meet time-sensitive deadlines.
  • Manage multiple Outlook inboxes, ensuring timely responses and appropriate follow-up.
  • Coordinate boardroom bookings and proactively resolve scheduling conflicts.
  • Oversee vehicle permits and insurance documentation, ensuring compliance and timely renewals.
  • Coordinate the ordering and pickup of lunches for company meetings and events.
  • Assist with the preparation and maintenance of reporting templates for Project Managers.
  • Act as the primary point of contact for building maintenance requests and issues.
  • Manage and reconcile the local office MasterCard, ensuring accuracy and compliance with budgetary guidelines.
  • Monitor and maintain office supply inventory, placing orders as required.
  • Receive, screen, and direct incoming calls, emails, and visitors using the Telus Business Connect phone system.
  • Distribute incoming and outgoing mail and coordinate courier services.
  • Perform other duties related to the role as assigned.

 

Qualifications and Requirements:


  • Bilingual in English and French (verbal and written).
  • Minimum of five (5) years of experience as an Administrative Assistant or in a similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, SharePoint) and Adobe Acrobat Pro.
  • Ability to travel occasionally to the Gatineau office.
  • Demonstrated ability to work collaboratively as part of a team, contributing to a positive and productive work environment.
  • Strong organizational skills with a high level of attention to detail and the ability to meet deadlines.
  • Ability to manage multiple responsibilities simultaneously while maintaining accuracy and quality of work.
  • Proven ability to prioritize tasks and manage time effectively in a fast-paced environment.
  • Excellent verbal and written communication skills in both English and French.
  • Maintains a professional image and demeanor when interacting with internal and external clients.
  • Ability to work independently with minimal supervision while proactively identifying opportunities to improve processes and outcomes.
  • Strong alignment with organizational policies and values, with a demonstrated commitment to excellence.
  • Willingness to learn and adapt to new office software and technologies as required.
  • Valid driver’s license and access to a reliable vehicle.
