The Role at a Glance
You’ll own the "Office Experience." From the moment a candidate walks through the door to the way our global teams interact, you are the person who makes it all happen. This role is a blend of facilities management, employee engagement, and operational strategy. You’ll lead and optimize the workplace environment by overseeing day-to-day operations, managing vendors and facilities, driving employee experience initiatives, and ensuring a high standard of service across the office. This includes front desk responsibilities, office supplies and refreshments, maintenance and facilities, as well as budget tracking and operational efficiency.
Key Responsibilities
- Office Experience & Front Desk Management: You will sit at reception and be the face of the Prague site. Manage visitor hospitality, lead the "BuddyOne" new hire onboarding program with HR, coordinate candidate experiences with the TA team, and support and inform employees. Innovate and lead front desk strategies, ensuring a welcoming and professional environment for visitors, employees, candidates, and vendors. Uphold and elevate service standards, setting a benchmark for workplace experience.
- Daily Excellence: Oversee and lead the strategic management of overall office operations to enhance efficiency, productivity, and workplace satisfaction. This includes managing cleaning services, office supplies, mail/courier, and vendor relationships to ensure a safe, clean, welcoming, and organized workspace. You’ll keep the tech running (with IT) and the snacks ordered and stocked, overseeing inventory, procurement, and distribution, ensuring a seamless and cost-efficient process.
- Maintenance & Facilities Oversight: Lead the comprehensive responsibility for office maintenance, repairs, and renovations. Monitor the office environment, proactively addressing operational and facility issues by coordinating repairs and maintenance (minor to major) with the building maintenance team and vendors, and implement advanced maintenance plans. Drive sustainability initiatives to create a well-maintained, modern, and environmentally conscious working environment.
- Culture & Engagement: Plan local events, happy hours, ad-hoc activities, and global themed gifts to drive engaging experiences for both local and global teams. You aren’t just managing a space; you’re building a community.
- Strategic Operations: Spearhead the tracking and management of budgets for the Prague site ensuring responsible and strategic use of financial resources, and provide insights and recommendations for budget optimization and resource allocation. Contribute to budget planning and forecasting. Identify cost-saving opportunities, support ISO safety standards with Security, and promote office sustainability. Proactively solve problems and anticipate operational challenges.
- Global Collaboration: Partner with G&A teams including HR, IT, and Security and site leadership to align the Prague office with our global workplace best practices and G&A requirements, ensuring alignment with organizational goals. Lead and support global workplace initiatives, joining global calls to help develop best practices and team culture, and drive continuous improvement to elevate the overall workplace experience. Foster strong collaborative relationships with cross-functional teams to enhance workplace effectiveness on a global scale.
