Assistant to the Management (m/f/x).

This position is part of the Executive Shared Service Center and is responsible for delivering versatile, high-quality support to the company’s senior leadership team, including C-level executives, vice presidents, directors, and the plant manager. The role combines executive assistance, office coordination, and front-desk presence to ensure seamless daily operations across the organization. You will collaborate closely with office managers, handle a wide range of administrative tasks, and contribute to efficient communication and workflow across teams. The ideal candidate is adaptable, service-minded, and comfortable supporting multiple leaders with varying needs.

Your responsibility areas:

  • Provide comprehensive administrative support to senior executives, including managing calendars, coordinating meetings, arranging travel, and handling follow-ups on open items.
  • Serve as a point of contact for executives, employees, visitors, clients, and external partners
  • Take over front-desk duties to ensure a professional and welcoming environment.
  • Take care of office daily operational tasks and contribute to the smooth functioning of the workplace.
  • Prepare materials for internal and external communication, such as memos, emails, presentations, and reports.
  • The management of the Document Management System falls within your scope of responsibilities.
  • Track and process expenses for supported executives and prepare regular summaries and reports as needed.
  • Assist with general administrative and logistical tasks that contribute to effective management operations within the shared service center.

Requirements

  • You have a higher education in a field that supports you in being successful at what you do.
  • You know how to build strong relationships and have previous experience in supporting management.
  • You are highly organized and detail-oriented with a proactive work style.
  • You practice agile methods and are flexible in planning your time.
  • You are curious to learn new programs and applications to further develop your talents and support the CEO & management.
  • You are an open-minded and optimistic person who likes to help others.
  • Your English and German are excellent.
