This role supports the Aprio Alliance Practice Leader with essential administrative tasks to keep the department organized and running smoothly. Strong multitasking and schedule management skills are required. The ideal candidate is resourceful, solves problems efficiently, and stays highly organized. Timely completion of assignments is critical. Independent judgment is needed to prioritize and manage varied responsibilities.
Position Responsibilities:
Executive Support
Manage complex and confidential email communications, including prioritizing, flagging, and organizing messages for review.
Maintain the Practice Leader’s calendar, scheduling meetings, conferences, and travel arrangements.
Prepare and reconcile expense reports; generate and format reports as needed.
Proofread documents for accuracy, grammar, and formatting.
Project & Meeting Coordination
Facilitate key projects and ensure deadlines are met, particularly related to M&A activities, operational efficiencies, and strategic growth initiatives.
Support the Executive Leadership Team by managing the MS Teams channel, coordinating meetings, and taking notes when required.
Arrange and support internal team meetings and events, including logistics and material distribution.
Operational Excellence
Prioritize competing demands, resolve issues proactively, and follow through on projects under tight deadlines.
Maintain discretion and confidentiality in all interactions.
Ensure compliance with company policies and governance requirements.
Brand Representation
Serve as a professional ambassador for Aprio and Aprio Alliance in all communications
Qualifications:
Associate or bachelor's degree
Minimum of five (5) years of experience providing executive or management-level administrative support
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Familiarity with CRM platforms (HubSpot preferred) and project management tools (ClickUp or similar)
Strong organizational and time-management skills with the ability to handle multiple priorities effectively
Exceptional written and verbal communication skills
High attention to detail and commitment to maintaining confidentiality
Demonstrated ability to anticipate needs, work independently, and manage special projects
Comfortable operating in a fast-paced, deadline-driven environment
