What you’ll do as an AP Accounting Officer:

AP tasks

  • You are part of the AP team by promoting task rotation, knowledge sharing, and continuous learning to strengthen team capabilities and coverage.
  • You execute the daily operations of the AP team to ensure efficient workflow and timely, accurate payment activities.
  • You ensure proper validation, coding, and booking of AP invoices, including both general expenses and operational cost allocations, in compliance with accounting policies.
  • You develop operational knowledge in logistics to enhance accuracy in cost allocations and accrual controls.
  • You manage accrual bookings to ensure completeness and accuracy of costs in each financial period, including proactive follow-up and reconciliation of outstanding items.
  • You guarantee timely and successful execution of supplier payments in coordination with internal departments and according to agreed payment terms.
  • You coordinate with the Facility and Asset Management teams to ensure proper accounting and tracking of assets related to supplier invoices.
  • You ensure timely and accurate preparation and submission of VAT declarations in compliance with local tax regulations.
  • You review and approve the creation and update of supplier master data in close collaboration with accountable stakeholders to ensure data integrity.
  • You contribute actively to the monthly, quarterly, and year-end closing process by ensuring timely AP cut-off, reconciliation, and reporting.

Reporting & Compliance

  • You prepare regular and ad-hoc reports for management review.
  • You ensure compliance with company policies, local regulations, and accounting standards.
  • You support audits by providing necessary documentation and explanations to auditors.

Month-end, Quarter-end, and Year-end Closures

  • You assist in the closing process, including preparing journal entries, balance sheet reconciliations, and variance analyses for AP accounts.
  • You ensure all transactions are accurately posted with the correct ledger within established timelines.

Process Improvement & Controls

  • You identify process improvements to enhance efficiency, accuracy, and internal controls within the AP function.

Education

  • You identify your own weaknesses proactively and improve your professional and soft skills.
  • You communicate your development needs to receive training internally or externally.

Stakeholder Collaboration

  • You work closely with the AR team and other Finance & Accounting functions to optimize end-to-end financial processes and drive consistency across the organization.

Requirements

  • You hold a Bachelor’s degree (or higher) in Accounting, Finance, Business Administration, or a similar field.
  • You bring 1–3 years of experience in AP or general accounting.
  • You are confident in working with ERP systems such as SAP, CargoWise, or Microsoft Dynamics.
  • You use Excel at an advanced level (pivot tables, formulas, VLOOKUP).
  • You communicate fluently in English, Dutch is a plus!
  • You enjoy working in a team, you are detail-oriented, and you are eager to develop yourself further.
