We are seeking a Glean Platform & Enterprise Insights Administrator to manage, optimize, and scale our Enterprise Insights Platform, with Glean as the core Work AI / GPT layer. This role partners closely with the Product Owner to administer the platform, support enterprise release, and help enable an internal AI marketplace for agents and workflows.
This is a hands-on, technical platform administration role with strong collaboration across IT, data, security, and business teams.
Key Responsibilities:
Platform administration: Configure and maintain the Glean platform, including access and permission management, groups/roles, security settings, and environment configurations (test vs. production).
Integrations: Set up and monitor data source integrations (SaaS apps, line-of-business systems, collaboration tools, file stores) and ensure successful syncs and indexing.
Operations & support: Monitor platform health and performance, troubleshoot issues, and coordinate with internal teams and the vendor to resolve incidents.
AI agents & marketplace: Support the intake, configuration, and lifecycle of Glean agents and AI workflows, including settings, guardrails, and permissions, and help operate an internal AI marketplace/catalog.
Governance & security: Execute governance processes for AI agents and apps (intake, review, testing, promotion, deprecation) and ensure data governance, privacy, and security controls are correctly applied.
Rollout & enablement: Support enterprise rollout activities, including license and group configuration, and create/update admin guides, FAQs, and user documentation.
Monitoring & optimization: Track usage, adoption, and key metrics (e.g., seats, feature usage, token/compute consumption) and recommend improvements to reliability, relevance, and cost efficiency.
Required Experience & Skills
Bachelor’s degree in Computer Science, Information Systems, Data/Analytics, or a related technical field; or equivalent practical experience.
4+ years of experience administering enterprise SaaS, collaboration, analytics, or search platforms (e.g., M365, ServiceNow, Atlassian, Salesforce, BI tools, or similar).
Demonstrated experience with:
o Platform configuration and administration (roles, permissions, groups, environments)
o Integrations and connectors (APIs, webhooks, data source configuration, monitoring syncs)
o Incident management and troubleshooting in partnership with IT and vendors
Strong understanding of data security, access controls, and governance in an enterprise environment.
Hands-on experience with AI-powered or GPT-based platforms (e.g., Glean, Microsoft Copilot, ChatGPT, or similar).
Experience building or configuring AI agents, copilots, or workflows in tools like Glean, Copilot, or other low-code/no-code AI platforms.
Ability to communicate complex technical concepts clearly to non-technical audiences and work effectively with IT, security, and business stakeholders.
Nice to Have
Familiarity with enterprise search, knowledge management, or insights platforms.
Basic understanding of APIs, data schemas, and logs sufficient to collaborate with engineering teams and diagnose integration issues.
Experience in change management, enablement, or training for new technology rollouts at scale.
