Administrative Support Specialist

We are seeking a dedicated Administrative Support Specialist to provide executive-level administrative and operational support.  This role requires a highly organized professional with experience in DoD executive administrative support and the ability to manage taskers, coordinate final staff packages, track and manage suspense, and facilitate meetings and appointments. The ideal candidate will be proactive, detail-oriented, and skilled in handling classified and unclassified information in a high-paced government environment.

 

Key Responsibilities

Managing Workflow Taskers

  • Monitor and manage tasker workflows (Task Management Tool, Outlook Workflows) 

  • Maintain access to Secret Internet Protocol Router Network (SIPRNet) for processing classified taskers.

  • Ensure workflow continuity by providing backup support when assigned personnel are unavailable.

Coordinating and Preparing Final Staff Summary Sheet Packages

  • Collaborate with Directorate leadership and stakeholders to finalize and coordinate written package responses.

  • Ensure all key Directorate personnel are informed about tasker objectives, issues, and responses.

  • Prepare final response packages for the Director’s review and approval before release to external agencies.

Tracking and Managing Suspense

  • Work with the SharePoint team to develop a tracking tool for external/internal suspense within 30 days of contract award.

  • Use the tool to provide real-time updates on action status (new, ongoing, completed).

  • Act as the single clearinghouse for all external task correspondence and maintain configuration control.

  • Archive all requests and responses to ensure accurate record-keeping and compliance.

Appointments, Conferences, and Meetings Support

  • Maintain appointment calendars and conference room schedules for the Front Office.

  • Schedule meetings and conferences, coordinating with internal and external stakeholders.

  • Assist in organizing and supporting PK operations meetings.

Record and Provide Results of Activities

  • Document results of key activities and provide reports to the Government lead(s) upon request.

  • Support Front Office evaluations, ensuring compliance with contract performance objectives.
