The Administrative Coordinator is responsible for providing administrative support, managing shipping and receiving activities, and ensuring accurate documentation and inventory control. Reporting to the Operations Manager and supporting daily operations by maintaining organized records, assisting with customer inquiries, coordinating shipments, and ensuring efficient flow of materials and information throughout the business.

RESPONSIBILITIES:

  1. Administrative

  • Answer phones, emails, and customer inquiries in a professional and timely manner.

  • Prepare sales orders and quotes through accurate data entry of tool repair reports provided by repair technicians.

  • Maintain accurate filing systems both digitally and physically.

  • Support management with reporting, spreadsheets, and basic bookkeeping tasks.

2. Inventory & Order Management

  • Assist with inventory tracking, including cycle counts and full physical inventory counts.

  • Identify and categorize received parts:

    • Items fulfilling outstanding part orders

    • Items required for ongoing tool repairs

    • Items to be added directly into inventory

  • Label and stock incoming parts; create new bins and locations as needed.

  • Coordinate with suppliers regarding short shipments, damaged parts, or discrepancies.

3. Shipping & Receiving

  • Prepare packing slips and all required shipping documentation.

  • Schedule shipments and pickups while maintaining detailed tracking documentation.

  • Package shipments securely following company standards.

  • Receive incoming deliveries; verify quantities, PO numbers, and product condition.

  • Coordinate product returns or RMA shipments.

  • When tools arrive for repair, follow ISO 9000 standards for tagging, logging, and entering tools into the tracking system.

4. Material Handling

  • Assist with physical material handling, including operating forklifts and pallet jacks (if applicable and certified).

Requirements

  • High school diploma or equivalent.

  • Proficiency with MS Office (Excel, Word, Outlook) and Google Suite.

  • Strong computer literacy and accurate data entry skills.

  • Excellent organizational skills and attention to detail.

  • Ability to work independently and collaborate effectively as part of a team.

  • Strong verbal and written communication skills.

  • Demonstrated professionalism, respect, and commitment to service excellence.

  • Previous experience in shipping/receiving, administration, or a similar role (preferred).

  • Ability to lift up to 15kg and handle packages as required.

  • Valid forklift certification (an asset).

  • Familiarity with ISO 9000 standards (an asset).
