Position Summary

The Administrative Assistant provides high quality administrative and operational support to the senior leadership team, ensuring smooth day-to-day operations. The ideal candidate is highly organized, detail oriented, discrete, and able to manage multiple priorities in a fast-paced environment.

This role is best suited for a self-starter who is looking to be part of a dynamic team and who appreciates a diverse, collaborative work environment.

Key Responsibilities & Tasks:

1. Office & Administrative Management

·        Organize and maintain files (electronic and paper).

·        Prepare, submit and reconcile expense reports, using Nexonia, ensuring accuracy, completeness and timely submission.

·        Coordinate logistics for events, board meetings, or team offsites.

·        Take minutes, track follow-ups, and ensure timely completion of action items.

·        Provide general administrative support to executives and teams as required.

2. Communication & Liaison

·        Serve as a point of contact for internal and external stakeholders.

·        Draft and edit correspondence, reports, and official documents.

·        Coordinate communication between departments.

3. Project & Task Management

·        Support special projects, ensuring timelines and deliverables are met.

·        Conduct research, gather data, and prepare reports.

·        Assist with the collection, tracking and organization of ESG related data and documentation.

·        Track deadlines and manage priorities.

5. Confidentiality & Professionalism

·        Handle sensitive information with discretion and maintain confidentiality.

·        Represent the senior leadership team with professionalism in all interactions.

Skills & Qualifications

·        Proven experience as an Administrative Assistant, or similar role.

·        Strong organizational and time-management skills with attention to detail.

·        Proven experience with expense reports and using expense reporting tools

·        Excellent verbal and written communication skills.

·        Proficiency in Microsoft Office/Google Workspace and scheduling tools.

·        Ability to multitask, prioritize, and work independently.

·        Discretion and professionalism in handling confidential information.

The role is structured as a five-day workweek (Monday – Friday) with four days required in-office presence.
