Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Role Overview: This is a remote administrative support role responsible for assisting the managers in ensuring solar and battery installation projects meet all operational and compliance requirements.

The role will play a key part in supporting compliance documentation, system workflows, and administrative processes. As systems and procedures continue to evolve—particularly with the early-stage implementation of Simpro—the role will adapt and expand over time.

Key Responsibilities: 

1. Solar & Battery Compliance Support

  • Assist with preparing and managing compliance documentation for Australian solar and battery installations, with a strong focus on Victorian requirements.
  • Support the processing and submission of solar rebate applications.
  • Ensure all documentation aligns with current and upcoming compliance standards, including readiness for 2026 requirements.
  • Coordinate closely with the Solar Manager to ensure compliance milestones are met accurately and on time.

2. Simpro & Ezzybills Workflow Management

  • Manage and support workflows within Simpro, including jobs, quotes, and purchase orders.
  • Assist with accounts payable processes by managing supplier invoices and purchase orders using EzzyBills.
  • Ensure invoices are correctly captured, mapped from EzzyBills into Simpro, and allocated to the appropriate job cost centres.
  • Support accurate cost tracking by ensuring invoice and PO data is complete and correctly assigned.

3. Database & System Maintenance

  • Maintain data integrity within Simpro by supporting the admin team in keeping records accurate, up to date, and well-structured.
    Assist in cleaning and maintaining job, supplier, and materials data within the system.
  • Generate basic reports from Simpro to support management with job tracking, materials status, and operational visibility.

4. Timesheet Monitoring & Payroll Support

  • Monitor staff timesheets in Simpro on a daily basis to ensure field staff are clocking on/off correctly and recording labour hours accurately.
  • Identify missing entries, discrepancies, or non-compliance in timesheet submissions.
  • Escalate any timesheet or labour reporting issues to Payroll Management promptly to support accurate payroll processing and compliance.

Requirements

  • Previous experience managing administrative and compliance paperwork for Australian solar and battery installations (Victorian experience strongly preferred).
  • Hands-on experience using Simpro, with a solid understanding of jobs, quotes, and purchase order workflows.
  • Experience supporting accounts payable processes, including invoice and PO handling.
  • Strong attention to detail with a focus on accuracy and compliance.
  • Ability to work independently in a remote environment while coordinating with multiple stakeholders.

Nice to have:

  • Experience using EzzyBills for invoice processing.
  • Familiarity with rebate processes.
  • Experience supporting evolving systems and process implementation.
  • Basic reporting experience within Simpro.
