Accounts Payable Specialist

We are looking to add an Accounts Payable Specialist to our team! This person will be heavily focused on our non-inventory vendor invoice processing. Additionally, they will help out as a backup for the rest of the AP functions including credit card and expense management as well as inventory and subcontract vendors.

Here's what this position is all about:

Account Reconciliation, Invoice and Payment Management

• On weekly basis, create and print payment run proposal spreadsheet for review by AP Manager and Director of Cash Management and ensure account payable aging is in balance
• Perform reconciliation for accounts at month end; complete month end tasks within strict deadline
• Regularly check figures, postings, and documents for correct entry, mathematical accuracy, and proper codes or descriptions
• Maintain accuracy in reporting for the entire accounting team by reconciling or noting and reporting discrepancies found in records
• Engage and comply with federal, state, and company policies, procedures, and regulations
• Debit, credit, and total accounts using specialized accounting software
• Manage outgoing electronic payments made by Service Express and proactively probe for additional electronic payment opportunities
• Complete sales tax-exempt forms as needed
• Code incoming non-inventory, inventory, subcontract, partnership, and customer refund invoices appropriately for accurate tracking and reporting purposes
• Complete non-inventory expense processing including, but not limited to leases, utilities, and other day-to-day expenses for all Service Express sites
• Prepare all 1099 tax forms on an annual basis to properly reflect all payments made
• Assist with annual auditing for both internal and external purposes as requested
• Document and update processes regularly; continuously monitor for process improvement opportunities to support a business of growth and sustainable procedures
• Research any invoicing issues as necessary; access financial information to answer general questions as well as those related to specific accounts

Vendor Relationships

• Maintain vendor account management including, but not limited to: ensuring invoices are paid as appropriate, managing credits for returned items, and sending statements as necessary
• Review vendor statements and assure that Service Express receives credits from vendors as appropriate
• Administer vendor account establishment ensuring that all required documentation is properly completed and on file
• Maintain correspondence with vendors as needed to ensure continued relationships where valued and excellent communication

What we are hoping you will bring to the Service Express team:

• Accounts payable experience required; 5+ years of experience preferred
• Understanding of the full-scale AP process from receipt of invoice to the processing and payment of invoices to the balancing and reporting out of data
• Bachelors in business or accounting related field preferred
• Background in using an AP automation solution as well as treasury experience and banking relationships ideal but not required
