The Opportunity

BrandActive is currently seeking a part-time (24 hours a week) Accounting Specialist to aid in BrandActive’s accounting function. Your attention to detail, agility and collaborative approach when working with others will support your success in the role.

 

Reporting to the Senior Accounting Manager, you’ll be responsible for relationship management with BrandActive’s clients and vendors, supporting across accounting and administration functions and more.

We are looking for an experienced, long-term addition to our team who can hit the ground running and enjoys working on a broad variety of tasks.

Responsibilities

Accounting and Administrative Operations

  • Receive, review, and route vendor invoices for approval
  • Request, verify, and maintain vendor banking details and required documentation (e.g., W-9s for U.S. vendors)
  • Maintain Accounts Payable and Accounts Receivable cycles, including invoice creation, payment application, and approval workflows
  • Prepare weekly payables reports for Partner approval
  • Review, verify, and process employee expense reports; communicate reimbursement status as needed
  • Manage AR aging and follow up with customers via email and phone
  • Oversee and reconcile corporate credit card accounts
  • Deposit cheques and manage incoming mail for the Accounting team
  • Maintain client documentation file

 

Accounting Systems and Reporting

  • Enter and maintain accounting transactions in QuickBooks Desktop
  • Set up and maintain customer and vendor records
  • Enter, apply, and track invoices, bills, credits, and payments with a clear understanding of posting impacts
  • Perform monthly bank reconciliations
  • Prepare and support routine financial reports
  • Support month-end close and ad hoc accounting tasks
  • Independently manage day-to-day accounting operations in QuickBooks

 

Payroll and Cross-functional Support

  • Assist the Senior Accounting Manager with bi-monthly payroll, invoicing, purchase order creation and tracking, tax reconciliations, and month-end close activities
  • Communicate effectively with internal departments and external vendors to resolve accounting questions or issues

 

Professional Development

  • Own your growth by setting and updating development goals, actively seeking feedback, and aligning your aspirations with business goals.
  • Contribute to internal initiatives that impact the client and/or team member experience such as our EDI Advisory Committee, Community Impact Committee, or our Social Committee.

Qualifications and Experience

  • 2–5 years of relevant accounting or bookkeeping experience
  • Post-secondary education in Accounting (degree, diploma, or certificate) preferred
  • Proficiency in Excel (including pivot tables) and Outlook
  • Hands-on experience with QuickBooks (required)
  • Strong organizational skills, attention to detail, and accuracy
  • Professional and effective communication skills
  • Self-motivated with the ability to work independently
  • Experience with expense management tools (e.g., Expensify) and online payroll systems preferred
  • Experience with cross-border accounting (U.S./Canada) and A/P portals (e.g., Ariba) preferred
  • Prior experience creating purchase orders and performing bank reconciliations

 

Compensation

  • Competitive compensation: $35-$40 CAD per hour. This is a part-time role, roughly 24 hours per week.

Preference is Toronto, ON. BrandActive also has an office available for those in Toronto, ON.
