About the role
The main objective of the role is to oversee all aspects of the office and guarantee the safety and functionality of all facilities. Duties include running routine safety inspections, corresponding with contractors, planning maintenance work, maintaining records, and supervising coordinators. Our ideal candidate is a self-starter, who embraces a hands-on role, well-versed in facilities management processes and exhibits high multitasking and organizational abilities. Reporting to the EU Workplace Manager, the successful candidate will be a Facilities professional who will be responsible for onsite facilities and operations.
Key Responsibilities:
- Ensure onsite facilities create a well-run, safe, and welcoming workplace
- Oversee cleaning operations, manage priorities, and perform routine inspections to identify safety, efficiency, and aesthetic improvements
- Manage contracts with maintenance and cleaning teams, monitor schedules, and review performance KPIs, implementing mitigation plans as needed
- Contract Management at local level, partnering with maintenance and cleaning staff and ensure continuous monitoring, including review KPI’s and developing mitigation plans accordingly
- Owns the liaison with the property manager to assure the high quality of property related maintenance
- Main point of contact for all suppliers - supervise and lead maintenance contractors, reviewing their scope of services, as required
- Act as go to person in relation to all facilities supporting best industry practices, and showing a strong problem-solving ability approach
- Accountable for the management of safe system of work for all contractors on site, issue and review of permits to work and inspection of work pre and post service/repair
- Manage the relationship with the external H&S provider, executing on guidance and changes as recommended and ensuring the office is compliant with health, safety and legislation and to ensure the well-being of our employees
- Significant input into compliance standards within the Facilities team including EDG, ISO 9001, 14001 and 27001
- Provide day to day supervision to the Workplace Coordinator and Front of House – Office concierge coordinator ensuring efficiency of operations, timely incident and case resolution and arranging cover of duties during their leave
- Maintain routine communication with Leadership on facilities KPIs, maintenance updates, and workplace impact
Key Requirements
- Relevant experience in similar role with 5+ years in a facilities management role
- Professional membership in relevant body beneficial
- Facilities Management Professional Qualification beneficial
- Experience in implementing Health, Safety & Quality management policies and procedures to ISO standards & legislation.
- Budget management experience
- Strong English verbal and written presentation skills
- Service orientated and a team player working in fast-paced environment
- Excellent planning and organisational skills, self starter and embraces a hands-on role
