We are excited to now be recruiting a part time, Workplace Coordinator to provide first class visitor and customer experience to our Dun & Bradstreet Slovenia office in Ljubljana. This will be a diverse and busy role focusing on delivering an outstanding, safe and compliant office environment for team members, customers and visitors to enjoy. Our new team member will sit within our dynamic European Workplace team and be responsible for ensuring the smooth operation of the office and promoting a positive experience. This is a 50% capacity role, with working hours beginning usually at 8am.
Key Responsibilities
- Office workplace representative & customer point of contact
- Reception Services
- Landlord Reception – coordinating access and additional parking for visitors and entrance check to get visitor badges
- Meet and greet guests and visitors, provide support manage their enquiries in a professional and courteous manner
- Site Safety and Security – championing site rules and being the first point of contact for all safety and security enquiries (including CCTV, keys, all safety at work tasks, order certificate for equipment, access badge control & health & safety matters), inductions, access card & key deployment
- Facilities Administration – maintaining records, site notices, processing invoicing, PO create for office supply, assisting in organizing the facilities elements of any office events and other administration relating to facilities matters, contact with vendor and contracts maintaining with collaboration with Legal department
- Office maintenance: managing preventive and reactive requests and complete or coordinate any cleaning requests
- Coordinating catering, incoming & outgoing mail, any other 3rd party office services
- Supervise and coordinate maintenance and cleaning works and contractors
- Managing and prioritizing tasks and queries as part of the day-to-day role
- Managing incoming and outgoing correspondence, including mails and packages
- Monitoring and ordering inventory for office supplies
- Oversees property management services, including maintenance of building and ordering proper janitorial supplies
What we're looking for
- Experience from working in a similar role and environment
- Understanding of Health & Safety and sustainability regulations
- Excellent customer service, planning and organizational skills
- Strong interpersonal skills with the ability to interact and communicate effectively
- Energetic, approachable, and representative of D&B, ensuring our customers and visitors feel welcome
- Excellent PC and administration skills – with a sound knowledge of word and excel
- Fluency in both English and Slovenian (verbal and written)
- Ability to always adhere to site rules and regulations
Please note this role will be a part time, 50% position, with your day starting usually at 8am.
