Who We Are
WatchGuard is opening our new Headquarters Event & Collaboration center. Since our employees have the flexibility to choose where they work best, we want to provide them an excellent experience when they choose to come into the office.

We are seeking a super friendly individual to join our team as a Workplace Concierge & Talent Acquisition Coordinator. This role is pivotal in ensuring the smooth operation of our Headquarters by providing exceptional concierge and event support services, managing various administrative tasks, and supporting talent acquisition efforts. The ideal candidate will possess a blend of welcoming attitude, strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving.
As a company, we believe in experimenting and iterating for continuous improvement. Our new Headquarters will be the epitome of that ethos, so you will need to be open to giving and receiving feedback as well as flexible in making changes on the fly. 
You will need to be onsite Monday-Friday 7:00 AM to 4:00 PM (1 hour lunch from 11-12) most days. There will be times when you will be required to work events that run later into the evening, and an occasional weekend event. These events will be pre-planned and communicated well in advance. 

A Day in the Life: Non-Event Days

  • You arrive by 7:00 AM.
  • Open the office and ensure the office is tidy and welcoming.
  • Check email and Teams messages for anything urgent. 
  • Make sure that all kitchens are stocked and tidy, making note of any back stock that needs to be replenished for your next order. 
  • Walk the office, checking in with the regulars and anyone visiting to make sure they have everything they need. 
  • Review job applications, screen resumes, and schedule interviews with candidates. 
  • Update the applicant tracking system with candidate information and interview outcomes.
  • Coordinate with various teams to determine upcoming event needs, ordering items and services.
  • Follow up on pending tasks and emails, ensuring timely responses and resolution of inquiries.
  • The day wraps up with you looking ahead at who is scheduled to be in the office in the coming days, so you are prepared. 
  • You’re finished at 4:00 PM.

A Day in the Life: Event Days

  • Your arrival time is determined by the event needs.
  • Ensure that the office is set up for the arrival of guests and that any last-minute issues are handled. 
  • Direct any vendors in event setup.
  • Welcome guests and mingle as the host throughout the event.
  • Make sure food and drink stations remain stocked and attractive.
  • Clean up after guests have left so that the office is ready for regular use the next morning.

Position Responsibilities

  • Act as the first point of contact for visitors, clients, and employees, providing a high level of hospitality and assistance.
  • Assist with meeting room reservations, catering requests, and other arrangements to facilitate smooth operations of meetings and events.
  • Maintain a welcoming and organized office.
  • Manage Teams and emails promptly and professionally.
  • Oversee office supplies inventory and procurement, ensuring adequate stock levels.
  • Coordinate facilities maintenance and repairs with building management as needed.
  • Collaborate with Talent Acquisition team to schedule interviews and coordinate any onsite candidate logistics.
  • Maintain applicant tracking system (ATS) and ensure accurate and up-to-date candidate records.
  • Send New Hire Welcome Kits to all incoming employees.

Skills and Qualifications

  • A friendly, welcoming personality is the most important requirement for this position!
  • Experience in hospitality, restaurant, coffee shop, customer service, office management, or administrative support is helpful, but not required.
  • Strong organizational abilities with attention to detail and the ability to multitask effectively.
  • Committed to feedback (giving and receiving) and continuously improving the guest experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software is helpful, but not required.
  • Ability to work independently with minimal supervision and adapt to changing priorities.

Compensation

The base salary range for this position is $53,000 - $58,000 USD per year, exclusive of benefits. This position is also eligible for a bonus of 5% of the base salary. Your base salary compensation will be based on your individual skills, education, and experience. Please keep in mind that the above range is the full base salary range for this role; hiring at the maximum of the range is not typical in order to allow for future salary growth.
