Summary
The Tender Specialist is responsible for monitoring and overseeing all bids for tenders across the Caribbean region. This role involves identifying appropriate products for tender line items, preparing bid documents, and liaising with internal and external stakeholders to gather the necessary information for submitting competitive bids. The Tender Specialist will ensure all tender submissions are accurate, timely, and compliant with regional requirements.
Key Responsibilities
- Monitor and review tender opportunities in Trinidad, Guyana, Barbados, Suriname, OECS, Belize, and other territories serviced by Company.
- Analyze tender requirements and identify suitable products for all tender line items in pharmaceutical and medical supply categories.
- Keep abreast of market trends, competitor activities, and regulatory changes that may impact tender opportunities.
- Prepare comprehensive bid documents, ensuring all required information and documentation are included.
- Collaborate with internal departments (e.g., Sales, Logistics, Finance) and principals to gather necessary data and approvals.
- Ensure all bids are submitted accurately and on time, adhering to the specific requirements of each tender.
- Liaise with principals and suppliers to obtain product information, pricing, and other relevant details for tender submissions.
- Work closely with the sales team to align tender strategies with overall business objectives.
- Communicate with regulatory authorities and other external bodies to ensure compliance with tender regulations and standards.
- Maintain an organized database of all tender documents, submissions, and outcomes.
- Generate regular reports on tender activities, success rates, and areas for improvement.
- Document and track all communication related to tender submissions.
- Identify and implement best practices to enhance the efficiency and effectiveness of the tendering process.
- Conduct post-tender analysis to understand the reasons for success or failure and develop strategies for future improvement.
