We are seeking a driven individual with strong organisational, administrative, and collaborative skills to join our team as a Team Facilitator.

About the role

The Team Facilitator will deliver comprehensive administrative and organisational support to the Management Team (MT), with an emphasis on continuous improvement and the integration of AI-driven tools to enhance efficiency and outcomes. Reporting to the Head of FM & QA, this individual will also assist with service catalog activities, collaborating closely with QA team members as needed to support project requirements. Key responsibilities include:

  • Managing schedules, meetings, travel arrangements, and itineraries for +/- 6-7 MT members, including preparation of agendas, minutes, reports, and necessary documentation.
  • Coordinating logistics for team and cross-functional meetings, preparing necessary materials and acting as a liaison between MT and stakeholders to ensure smooth communication and follow-up.
  • Implementing AI-driven tools and technologies to enhance administrative processes, continuously seeking improvements to drive efficiency.
  • Supporting updates to the COFRA Services catalogue, engaging in discussions on potential client services and challenging the MT on opportunities for innovation.
  • Maintaining a strong understanding of all COFRA Services processes, especially SLAs, proactively engaging with clients and stakeholders to ensure smooth, efficient progress.
  • Assisting in administrative tasks related to QA, risk control, and project tracking, while supporting budget centralization efforts for integration with the CSS Business Controller.

What you bring

  • Advanced proficiency in Microsoft Office, relevant software, and adaptability to new technologies and AI tools
  • Strong organizational, time management, and multitasking abilities
  • Excellent written, verbal communication, and proactive problem-solving skills with attention to detail
  • Discretion and skill in handling confidential information
  • Bachelor's degree in Business Administration, Office Management, or related field
  • Relevant certifications in administrative support or project management (eg, IAAP CAP. PACE) are a plus
  • 3-5 years of experience in an executive assistant or high-level administrative support role, including calendar, travel, and administrative management
  • Prior experience in a shared service centre or similar fast- paced environment with stakeholder interaction
  • Track record of implementing technology solutions to improve administrative processes
