SUPPLY Manager

·     The Role has a natural fit with the duties of the Supply & operations manager of VIVO Mozambique, as such shall be vested in that position.

Principal Accountabilities:

Consolidate all requirements from all VIVO operating units, affiliated customers and others (EPL to date), and submitting to Petroleum Importing Company (PIC) as per Bulk Procurement System (BPS) format, deadline and guidelines.

·     Represent VIVO Energy at the PIC meetings and advise VIVO Operating Units and entities on all resolutions passed at such meetings.

·     Be the liaison between PIC, local authorities and VIVO Operating Units and entities.

·     Ensure all local regulations changes that affects VIVO Operating Units and entities are communicated well in advance.

·     To ensure that VIVO Operating Units and entities are kept in communication on all delivery notices from supplier.

·     To liaise with VIVO Operating Units and entities so as to ensure that they open Letters of Credit/ guarantees are in place as per the BPS regulation with the supplier

·     To coordinate the receipt of product for the VIVO operating units & entities by ensuring all documentation and local costs done and settled in time as per the laid down regulations and protocols.

·     To ensure all customs processes are followed through in warehousing transit product promptly and all the enablers of such are in place well in advance.

·     Ensure where transit bond is required, such is in place by Vivo Mozambique and adequately to cover efficient evacuation of the transit product. If not, escalate to management.

·     Ensure that each VIVO operating unit and entity provide truck loading plans for each consignment immediately after receipt of product, in line with customs transit period. Daily reports on loading to be sent to relevant parties within the OUs. This will be done in liaison with respective OU Road Transport Managers.

·     Consolidate all stocks from the various OUs (each OU to reconcile its own stock) and other entities being held in bonded warehouse with VIVO Mozambique  being the agent. Reconcile this consolidation with physical stocks. 

·     Escalate any disputes to VIVO Central supply for resolution regarding any of the VIVO Operating Unity & entity

·     Reconcile all orders with deliveries, lead times for all product requests from operating units, before being placed for BPS or SPOT purchases and provide recommendations

·     Maintain time track of all deliveries throughout the supply chain cycle from order to delivery to secondary depot/ operating unit receipt location against set targets. Recommend solutions on improving the leadtimes and debottling the supply chain.

·     Stay in constant communication with OU supply managers and proactively react to any supply blips via volumes re-allocations, extra volumes from PBPA or Spot Suppliers and advise on the efficient and equally effective supply solution.

·     Work with distribution / terminal manager in Mozambique and OU supply managers on best utilization of tanks and re allocation of volumes, where applicable to other non-VIVO terminals.

Requirements

Knowledge & Experience   

·  Engineer or equivalent with a minimum of 5 years of experience in Supply activities  

·     Very good skill in planning and good knowledge of local market supply issues

·     Ability to manage complexity and to make decision when required even uncertainties

·     Experienced Supply Chain professional (over 5yrs) with strong analytical and interpersonal skills.

·     Good understanding of African geography / in country contacts as well as the fuels

·     Understanding of local import operations (some experience in logistics and supply appreciated)

·     Analytical skills

·     Proficiency in Portuguese and English is preferred

·     Relationship skills important, ability to influence without having hierarchical lead
