The SPS Lead will oversee and provide tactical and strategic Space & Occupancy Planning expertise to Supervise the supply and utilization of clients portfolio of space (including but not limited to office, oversight of conference rooms, storage at all facilities, laydown yards, warehouse, service centers, garages, mobile assets (trailers) and critical facilities.

Responsibilities

  • This will include occupancy planning and portfolio planning efforts, support move and reconfiguration projects; in a cost-effective manner consistent with CRE standards for project scope, design, budget and schedule. 
  • Responsible for maintaining accurate space plans and occupancy data in the CRE occupancy management system and provide reports as required.
  • Supervises personnel and vendors and develop and maintain process and procedures for space and occupancy related.
  • Oversee all facility space and personnel move requests within assigned portfolio to maximize space efficiencies, while implementing solutions in-line with client goals.
  • Participate in meetings to report occupancy related issues, client requirements, challenges and opportunities.
  • Develop blocking and stacking diagrams, and re-stack scenarios, attend kick-off meetings for new real estate acquisitions, major renovation projects and projects moves to contribute insight, guidance, and smart, simple solutions in support of occupancy requirements.
  • Facilitate communication between Client groups and “Move & Furniture” vendors.
  • Create space and/or move solutions to address clients' occupancy/relocation requests that are aligned with real estate portfolio strategy. 
  • Coordinate with immediate team members, move vendors, and present solutions to client.
  • Notify Business Resiliency of large-scale reconfigurations of buildings for emergency planning purposes.
  • Occupancy Data Management/Auditing. Perform occupancy audit program functions.
  • Assure Archibus accurately reflects current occupancy and is updated to include new information obtained from site audits, project managers and other valid sources.
  • Visit assigned sites as needed to establish and maintain working knowledge of facilities.
  • Recommend to Clients on CRE space and occupancy policies & procedures and notify direct supervisor if they are not being followed.
  • Ensure occupancy planning activities are aligned with corporate guidelines and propose scenarios that maximize use of space.
  • Review, approve and/or make alternate furniture recommendations for reconfiguration requests and furniture installs. 
  • Engage furniture vendors as needed for scoping & costs.  Oversee installations and reconfigurations assuring CRE Standards are met.
  • Coordinate any necessary issues with departments both directly and indirectly involved.

Qualifications

  • Bachelor's degree or certification in related real estate or architectural and project management specialty fields
  • 10 to 15 years of relevant Experience in an internal CRE environment managing space/occupancy, moves and furniture design.
  • Certifications or memberships from one of the following professional organizations: PMI, BOMA, IFMA, CoreNet Global
