THE ROLE

Provide true expertise and high-quality service to our internal and external clients for all activities related to logistics and the transportation of artworks consigned for sale at Sotheby's by our clients, ensuring timely delivery while controlling costs and complying with the group's internal rules and current legislation. Work closely with our suppliers to implement and coordinate the movement of artworks, both domestically and internationally.

RESPONSIBLITIES

  • Respond to and provide solutions for any requests regarding pre-sale transportation operations (imports to France, international transfers for sale, traveling exhibitions) as quickly and cost-effectively as possible while following company procedures.
  • Assess and verify transportation needs (means of transport, type of packaging, etc.), request quotes from our suppliers, select the best option for our internal and external clients, and record and validate this information in the computer system.
  • Whenever possible, organize group shipments to improve efficiency and reduce costs for Sotheby’s and the clients.
  • For any accepted quote, contact service providers and give instructions regarding packaging, pickup, transport, and security.
  • Ensure the smooth execution of local and international shipments, proactively identify and resolve any issues with carriers in a timely manner, and keep all relevant parties informed.
  • Regularly communicate necessary information to the Manager for evaluating supplier performance and service levels.
  • Ensure artworks are correctly imported/exported in compliance with applicable laws and regulations.
  • Request the necessary documentation (licenses, CITES, etc.) within the required timeframes and follow up with various agencies (SMF/SLL/DRIEE, etc.).
  • Regularize fixed tax and/or temporary admission procedures with customs and freight forwarders.
  • Be responsible for obtaining and maintaining transportation and customs data and documents.

Due to the evolving nature of the business, the multi-skilled coordinator will primarily focus on managing pre-sale transportation but must be versatile within the transport team to provide support for post-sale transport management during peak periods and absences, ensuring continuity of customer service.

IDEAL EXPERIENCE & COMPETENCIES

  • Higher education diploma in logistics and transport management and/or at least two years of professional experience in an international transport company, ideally specializing in luxury goods or art.
  • Knowledge of transportation and the logistics chain, as well as packaging standards, means of transport, and national/international regulations and customs procedures.
  • Excellent customer service skills, and proficiency in both written and spoken communication.
  • Strong communication and teamwork skills.
  • Good organizational skills and ability to prioritize.
  • Ability to handle multiple simultaneous deadlines.
  • Responsiveness and skill in simultaneous problem-solving.
  • Fluent English is essential.
  • Comfortable with computer tools, and familiarity with SAP software would be a plus.
