We are looking for a skilled Regional Service Ops Resource Coordinator to support the Professional Services Sales Operations Specialist (PSOS). The PSOS is a valuable resource for Regional Service activities and Engineering. The PSOS supports Presales and Project Delivery efforts by managing new opportunity scoping, including, submission of proposals, aiding in hours and template scoping, managing systems, and assisting in Proposal QA and delivery. Key interactions include daily communications with practice leads, account executives, and technical leaders across the Mid-Atlantic region. This role will engage in the management of resources assigned to technical projects while providing “Wow Them” service to clients and/or internal customers or co-workers. The Regional Service Ops Resource Coordinator will be required to demonstrate strong organizational and communication skills, lead by influence, and strong business/ financial acumen to drive the use of progressive bidding and project management programs that align the delivery business objectives and priorities.
Roles and Responsibilities:
- Use internal tools and processes to generate service quotes, help scope and track opportunities, and process and close opportunities.
- Promptly responding to internal and external inquiries for professional services.
- Understand and suggest ongoing process improvements for the engagement lifecycle.
- Interface with Technical leaders, practice delivery leads, and Sales Support Specialists on a daily basis in a fast paced, engaging environment.
- Be able to manage multiple streams of work in an organized and timely manner.
- Serve as a liaison between Customers, Vendors, and GuidePoint outside Sales Executives and Service Leaders
- Document and maintain processes and procedures for workflow steps.
- Develop and maintain relationships with GuidePoint key Vendors and Customers.
- Assist with identifying, onboarding, tracking, and offboarding consultant and sub-contractor resources.
- Review, reconcile, and approve resource time entries and timesheets in a timely manner.
- Perform assessments of project hours Planned versus hours Consumed to identify adjustments needed to bid models.
- Develop and deliver reports and assessments needed to support the effective and efficient use of subcontractor and internal resources.
- Assist Project Managers with resourcing and managing proposed schedules and project plans.
- Assist Project Managers with preparations and execution of the internal and external project kick off meetings to include but not limited to presentation decks, meeting notes, coordination, scheduling, and facilitating.
- Assist Project Managers with project plan development, as it is required in the SOW or requested by the practice.
- Follow internal processes to ensure proper revenue, cost recognition, invoicing of clients occurs.
- Ensure regular and timely communications to all key stakeholders.
- Manage Project challenges such as schedule and budget issues; identify and document Project risks.
- Plan and manage resources ensuring all projects meet scope and budget expectations.
- Adhere to identified best practices, methodologies, and process documentation.
- Other duties as assigned.

Required Experience:
- Associate degree or equivalent from two-year college with four-year degree in a relevant area of study or technical school preferred
- Knowledge of Information Systems concepts required, past Cyber Security operations, services or proposal writing experience strongly desired.
- Must be self-motivated
- Must have outstanding attention to detail and commitment to follow-through
- Technical sales, professional service or consulting and technical writing experience preferred
- Ability to work well in a team environment
- Prior experience with task management/ Kanban tools and Customer Relationship Management (CRM) software is required. Experience with Jira and/or SalesForce.com preferred
- Strong ability to multitask and understand processes quickly and efficiently
- An unwavering positive attitude, a strong drive for results, and the ability to deal with ambiguity are a must

- Any travel/on site requirements as needed
Physical Requirements:
- Sedentary work
- Substantial movement of the wrists, hands, and/or fingers for a minimum of 8 hours a day
- Required to have close visual acuity to view computer terminal and/or extensive reading for a minimum of 8 hours a day
