Senior Workplace Experience Specialist

The Workplace team is dedicated to offering a world-class onsite hub experience to ensure a productive and engaging atmosphere. They also focus on fostering a strong company culture to improve employee engagement across the organization, leading initiatives such as space planning, well-being, and company events.

What you'll be doing:

Office Operations Management:

  • You will oversee daily office operations of our Barcelona Hub and ensure smooth operations, managing any operational challenges.
  • Manage Jira tickets related to office requests.
  • Manage access in liaison with the landlord.
  • Be the main point of contact for the landlord.
  • Manage office supplies, equipment, and inventory.
  • Implement and maintain office policies and procedures.
  • Set up and manage all processes related to facility management, cleaning, access management, onboarding, offboarding, and events in liaison with our IT, People Operations, Community, and Hospitality teams.

Food and Beverage Program Management:

  • Support our Hospitality team to develop and manage the office’s food and beverage program, including daily operations, vendor relationships, and budget oversight.
  • Support our Community and event manager to manage special catering requests for events and meetings.

Internal Communications:

  • Manage all office-related communication with our employees working from the offices via Slack.

Facility and Cleaning Services Coordination:

  • Ensure the office facilities are well-maintained, and any issues are promptly addressed in liaison with the landlord.
  • Oversee cleaning services to maintain a clean and hygienic office environment.
  • Schedule and supervise regular maintenance and repairs.

Event and Community Initiatives:

  • Plan and execute office events and community-building activities in collaboration with the Community and Event Specialist.
  • Foster a vibrant office culture through regular social, professional development, and wellness events.

Onsite Onboarding and Employee Support:

  • Support new hire onboarding processes, ensuring a welcoming and outstanding experience for new employees.
  • Manage weekly onboarding tours through our office building.
  • Act as a point of contact for new employee inquiries and issues related to the workplace.

Health, Safety, and Employee Wellbeing:

  • Implement and maintain health and safety protocols in compliance with local regulations.
  • Promote employee wellbeing through initiatives such as wellness programs, ergonomic assessments, and mental health resources in liaison with our People Operations team.

What you need to succeed:

  • Fluency in English and Spanish.
  • Bachelor’s degree in Business Administration, Facilities Management, Hospitality, or a related field is ideal.
  • At least 5 years of experience in office management, facilities coordination, or a similar role, preferably in a large office setting.
  • Experience using office management software like Zoom Workspaces, Omnea, Jira, Confluence, and Slack.
  • Experience with Office management systems (BIM) to manage the settings of the BIM together with the landlord (light and AC programming, sun shades, etc).
  • Spanish Health & Safety regulations knowledge.
  • Experience in event planning and community engagement.
  • Strong organizational and multitasking skills, with the ability to prioritize and manage multiple projects simultaneously.
  • Excellent communication and interpersonal skills.
  • Leadership experience would be preferred. 
  • Supplier Management and negotiation skills. 
  • Experience in process management.
