The HR Shared Service Organization (HR SSO) is responsible for the full ‘Hire to Retire’ employment cycle of approx. 11,000 colleagues globally and is split into 4 areas, HR SSO EU, HR SSO America’s, HR SSO APAC and MI (Management Information).

HR SSO APAC is responsible for the provision of services to approx. 3,000 colleagues and is split into four further areas, Pre-employment, Onboarding, Administration and Payroll.

You must ensure that all company policies are adhered to. You must also ensure that duties are carried out within set time limits whilst providing an excellent level of service to all Informa customers and colleagues.

Key responsibilities

The HR SSO Senior Specialist (Onboarding) is expected to assume the following key responsibilities plus any other reasonable duties as required:

  • During rollout of Onboarding Programme to wider country/division scope, work with:-  project team to deliver manager guidance; in country HR teams within discovery to identify current onboarding processes; Informa Communication team to ensure emails are maintained with in country requirements; and support Team Leader in rollout to wider Onboarding team.
  • Act as subject matter expert for the WelcomeIn and Activate Programmes
  • Provide first point of contact for hiring managers and new colleagues resolving queries professionally and promptly
  • First line response for escalated queries and complex onboarding matters
  • Will work with and support Team Leader to escalate and deliver any training requirements.
  • Working with the pre-employment team to establish a smooth transition of all starters post offer and moving into the onboarding stages
  • Management and updating of the new colleague tracker on a day-to-day basis
  • Initiate welcome meetings and reminders starting at pre-boarding through to one year after joining
  • Organise key onboarding events throughout the programme, ensuring the colleague is informed and attending, whilst maintaining the tracking schedule
  • Management of the Onboarding Platforms & all templated Communications to ensure all are maintained and accurately updated with any changes throughout the year
  • Management of key systems & relationships with account holders of these systems to support wider onboarding processes, ensuring guidance on usage is up to date and work with Team Leader to cascade to rest of team (including but not limited to – Absorb)
  • Handles diverse and confidential information requiring extreme accuracy, independent judgement and discretion.

Skills & Abilities

  • Good communication skills with the ability to build good relationships with a wide range of stakeholders, internal departments and key contacts
  • Proficient skills in Excel, Word and Outlook are essential
  • Proficient in Chinese is a must for reading, writing and translation of Chinese documents 
  • Knowledge and ability to use relevant internal systems
  • Ability to act with integrity, tact and diplomacy with sensitive and confidential information and handle it in a secure and safe manner at all times
  • Ability to complete a variety of related tasks
  • Pro-actively solve problems
  • Excellent Customer Service skills
  • Good time management skills, and prioritization skills; capable of working independently in a fast-paced environment
  • Service-oriented team player who has a strong orientation toward teamwork to work as part of a team
  • Ability to be flexible within role

 

 

  • Understanding of Applicant Tracking Systems/Onboarding Platforms advantageous
  • Good knowledge and understanding of onboarding or recruitment administration
  • Previous experience within a Shared Services environment desirable
  • Exposure to SAP & Oracle systems is desirable
