About the Role
 
Fivetran is building data pipelines to power the modern data stack for thousands of companies. We’re looking for an ambitious and exciting administrative professional to support our EVP of Engineering and his leadership team as a Senior Executive Assistant. The role's mission is to provide impeccable administrative support, manage projects, drive engineering employee engagement, and optimize working time.
 
This is a full-time, hybrid position based out of our Oakland office, with a requirement to work on-site a minimum of two days per week.
 
What You'll Do
 
Support our EVP of Engineering and Engineering Leadership Team:
 
  • Project Management Support - Manage engineering leadership projects requiring coordination with other departments and executive assistants
  • Meeting Support: Set up, take notes, and summarize meetings as needed. Create prep materials and calls as needed to ensure executives are ready to rock their meetings
  • Document Creation and Maintenance - Draft, proofread, and create engaging visuals for documents and documentation as needed
  • Calendars - keeping them tidy and free of conflicts, quickly fielding and routing inbound requests in alignment with executive priorities, and adjusting them as needed to handle any rapidly changing realities
  • Travel Bookings - Complete and adjust bookings for domestic and international travel for the leadership team - 9 people
  • Expenses - Complete bi-weekly expense reports via Coupa
  • Questions - Field incoming from the org with enthusiasm, attracting DMs to you and away from the executive
  • Meal & restaurant management - Ordering food or booking reservations at restaurants
  • Inboxes - Purge junk mail and draft basic responses where appropriate for both email inboxes by 9 am daily
  • Task Management - Use our task management tool to communicate updates to your execs and ask/answer questions
  • Ad Hoc Requests - Complete additional administrative tasks as needed - common requests include one-off meeting set-ups or locating documents and sharing them
 
Drive Employee Engagement:
 
  • Proactively surface and suggest initiatives that drive positive team engagement
  • Organize Team Events and Gifts to influence team culture 
  • Own and drive employee recognition programs and opportunities 
  • Keep an eye out for organizational health and surface any found issues to leaders
  • Manage skip-level 1:1 cadences
 
Collaborate with Engineering Strategy & Operations Team (EngOps):
 
  • Information Sharing - Meet weekly with the EngOps to provide updates on leadership priorities 
  • Calendars - Work with EngOps to ensure exec's calendars align with Annual, Quarterly, and Monthly cadences 
  • Event Support - Work alongside EngOps to produce engineering leadership team events quarterly or semi-annually

Skills We’re Looking For
 
  • You are interested in a long-term career as a Senior Executive Assistant and have a solid background in supporting engineering executives
  • Experienced with Project Management Support - Manage engineering leadership projects that require coordination with other departments and their executive assistants
  • You have prior experience handling external stakeholders/schedules, along with internal stakeholders/schedules
  • You are experienced with software development and cloud-based technology companies
  • You are great at  creating compelling presentations and visuals in Google Slides that communicate important messages to the organization
  • You are proactive, consultative, strategic, and confident in your abilities to support the team
  • You are good at anticipating the needs of your executives while showing initiative and even encouraging proactivity throughout the organization
  • You are highly organized, detail-oriented, and can handle multiple deadlines, projects, and stakeholders. You have excellent project leadership skills and can keep track of deadlines and deliverables associated with multiple workstreams
  • You successfully demonstrate the capability for creative problem-solving. Using an analytical mindset, You can seek answers and drive solutions autonomously

The pay range displayed on this job posting reflects the minimum and maximum target for new hire salaries for the target position and level. Our pay ranges are determined by role, level, and location. Our job titles may span more than one career level. Within the range, individual pay is determined by additional factors, including job-related skills, experience, relevant education or training, business need, market demands. The pay range is subject to change and may be modified in the future. Your recruiter can share more about the specific pay range for your location during the hiring process.


This range represents base salary only and does not include incentive for sales roles, equity, or  benefits, if applicable. 


Pay Range
$126,500$158,125 USD
