The Senior Document Controller is responsible for ensuring the accurate management, distribution, and storage of all documentation related to projects within the Sugar Backward Integration Project. This role involves the meticulous review, editing, and updating of technical documents, maintaining both physical and digital records, and ensuring confidentiality and compliance with company policies. The Senior Document Controller will play a key role in supporting the BIP Unit by preparing ad-hoc reports and creating documentation templates for future use.
Responsibilities:
·Thoroughly check documents such as contracts, technical manuals, and workflows for accuracy, ensuring they meet company standards before distribution.
·Maintain an organized system for version control, ensuring that the latest documents are always accessible to relevant stakeholders.
·Distribute and track copies of project-related documents to internal teams as needed, ensuring that all relevant departments have the necessary documentation to proceed with their tasks.
·Organize, maintain and efficiently retrieve both physical and digital records of all company documentation, ensuring they are easily accessible and securely stored.
·Create and maintain document templates for future use, ensuring consistency and standardization across all company documentation.
·Customize templates as needed to meet the specific requirements of different projects or departments.
·Oversee and manage the flow of documentation within the BIP Unit, ensuring smooth and efficient movement of documents between departments and stakeholders.
·Ensure that all sensitive information and terms of agreement are kept confidential, in accordance with company policies and legal requirements.
·Prepare ad-hoc reports on projects as requested by management, providing clear and accurate summaries of document-related activities and project status.
Requirements
•Bachelor’s degree in Project Management or any related field.
•Minimum of 7 years of experience in document control, with a focus on technical and contractual documentation, preferably within the manufacturing or industrial sectors.
•In-depth knowledge of document control processes, particularly within a manufacturing environment.
•Exceptional attention to detail with the ability to spot errors and inconsistencies in complex documents.
•Strong technical writing and editing skills, with the ability to produce clear and concise documentation.
•Excellent organizational skills with the ability to manage large volumes of documentation and ensure efficient retrieval.
•Proficiency in electronic document management systems (EDMS), Microsoft Office Suite (Word, Excel, PowerPoint), and PDF editing software.
•Experience in managing documentation for large-scale projects or within a highly regulated industry.
•Certification in Document Control, Records Management, or a related field is advantageous.
•Knowledge of Industry Standards: Familiarity with ISO standards and industry-specific documentation practices.
