About the Role:
We are looking for a Senior Coordinator to join Tubi’s Creative Studio team. You will be assisting a team of creatives, project managers, and with internal creatives, project managers, and cross-functional stakeholders with a variety of needs related to creative assets and general administrative functions. The right fit for this role will be someone who has 3+ years of assisting / coordinating experience, in a fast paced environment. The ideal candidate is incredibly detail-oriented, organized, proactive with excellent communication skills and loves to collaborate with their team and give/receive constructive feedback.
This role is remote or can be a hybrid role if you are based in LA.
Responsibilities:
- Assist in administrative duties, including but not limited to: taking and organizing meeting notes, creating project folders, tracking creative deliverables and deadlines, setting meetings and including agendas, updating Airtable with project status, links to assets, and other information
- Maintain and update recurring items the team uses as a whole for communications with upper level leadership
- Managing assets, both external and internal. This includes clear folder labeling and organization and communication as to whether or not we have everything needed to kick off a project
- Manage and maintain organization of internal asset management tools such as: DFStudio, Frame.io, Google Drive, and Box
- Manage photography assets which includes working with production companies to ensure photos are approved and uploaded, ensuring assets are tagged and organized, and creating and sharing links
- Maintain correspondence between outside agency/vendors and filmmakers
- Coordinate with Project Managers, Designers, Editors, and Sr. Creative Director to meet project deadlines
- Distribute and organize creative materials to multiple stakeholders, both internally and externally
- Track feedback and approvals from different stakeholders & cross-functional teams
- Ensure final deliverables adhere to the proper specifications for their medium
- License stock for final assets and ensure assets are shared with the appropriate team members
- Create new project folders, briefs, and other standard documents for upcoming projects
- Learn and become comfortable with our internal folder structure and file naming conventions
- Properly organize project files and assets used to be easily navigated
- Collaborate and communicate clearly with key stakeholders, including Sr. Creative Director and Project Managers, to maintain best practices and meet project deadlines
- Work cross-functionally with Marketing, Content Operations, PR, and external partners as needed
Your Background:
- 3+ years experience as a department / team assistant or coordinator at an agency, studio, or in-house network in the Entertainment space
- Proficient in general project management steps
- Exceptional Google Suite skills
- Working knowledge of Airtable, including ability to create bases and interface, create formulas, and link records
- Strong written and verbal communication skills with an emphasis on attention to detail
- Ability to manage multiple projects and deadlines with an understanding of how to prioritize your to-do’s and time manage your day-to-day in order to meet milestones and deadlines
- Ability to work quickly and efficiently
- Desire and ability to proactively take initiative and/or suggest solutions to common workflow issues
- Bachelor’s in Marketing / Communications or equivalent work experience
- Passionate fan of Movies & TV
Pursuant to state and local pay disclosure requirements, the pay range for this role, with final offer amount dependent on education, skills, experience, and location is listed annually below. This role is also eligible for an annual discretionary bonus, long-term incentive plan, and various benefits including medical/dental/vision, insurance, a 401(k) plan, paid time off and other benefits in accordance with applicable plan documents.
