Manage invoice delivery process for a portfolio of Customers within the Billing Team. Effective and conscientious Billing Dispatch Analyst with a proven track record in a previous billing environment. Extremely Customer focused, strong and clear communicator, resilient and determined individual who is self-motivated as well as team oriented, driven to achieve individual and team targets as set by the Billing Supervisor.

General

  • Process weekly billing coordinator activities for a portfolio of Customers as set out by the Billing Supervisor
  • Document billing coordinator details by Cleint. Customer Billing coordinator processes to be kept up to date, and regularly reviewed with the Business Unit and agreed to be accurate between both parties
  • Maintain billing coordinator timetables for Customer portfolio, capturing any specific calendar dates relevant to Customer billing coordinator cycles, Intercompany deadlines (aligned to WPP Group Reporting calendars), Customer Fiscal Year requirements, and Business Unit Year End requirements.
  • Delivers invoices and Credit Notes to Clients via various channels, such as EDI portals (mail, e-mail etc.)
  • Finalize Customer billing delivery in a timely manner, with required supporting documentation, in line with agreed and documented Customer billing processes and timelines and the Global SLA
  • Ensure prompt resolution of Billing queries at the earliest, involving all parties required
  • Ensure Customer master data records accurately reflect correct Billing coodinating details and agreed contractual terms.
  • Assist in supporting Business Units with expertise and guidance regarding billing coordinator process
  • Attend Business Unit and/or Customer meetings when requested
  • Assist with internal, external or Customer Audits as needed
  • Provide holiday and sick cover for colleagues as needed

Weekly 

  • Participate in weekly Customer review meetings with Billing Analyst and Business Units to provide status updates as required
  • Raise any Invoice delivery issues specific to each customer
  • Weekly team meetings to collaboratively review issues and drive resolutions when required
  • Provide status updates on invoice delivery’s towards monthly targets

Monthly

  • Drive Invoice delivery processes to completion in line with customer timetables

Skills/Experience

  • Minimum 2-3 years Billing experience within an International Organization
  • Confidence in dealing and building relationships, both internally and externally
  • Self-motivated, energetic, and detailed oriented
  • Able to work to firm deadlines and calm under pressure
  • Well organized with strength in prioritising
  • Strong communication skills and ability to handle complexity
  • Commercially focused with a strong Customer service approach
  • SAP Experience
