The Role: Junior Campaigns Coordinator/UFO

Availability: Full-time with an ability to work mornings, afternoons, and occasional overtime, holidays and weekends, especially during busy seasons and product launches. 

Working within the Digital and Distro teams, the Junior Campaigns Coordinator - UFO is responsible for processing, coordinating, and shipping out internal/external small pack orders. Working with all areas of the business, you will need to set up and keep processing/shipping timelines to meet customer deadlines. You will need to handle and keep track of inventory allocations for send out requests. 

 

Your core RESPONSIBILITIES:

  • Manage all incoming and outgoing UFO request throughout their lifecycle.
  • Maintaining communication with and fulfilling special order requests from other departments within the business.
  • Proficient use and knowledge of UPS, Canada Post and FedEx shipping systems.
  • Liaising with distribution systems, inventory, and systems support teams when needed.
  • Managing shipping deadlines and providing accurate estimates/time frames for business units send outs. Selecting appropriate coast for packages to leave from.
  • Picking and managing all inventory required for Campaign materials, PR orders, and other ad hoc requests
  • Coordinating the packaging and prepping of all products and orders.
  • Verifying address lists for CSV upload files.
  • Processing and printing all shipping info/labels and customs documentation through UPS or other desired carriers
  • Problem solving shipping deadlines and timing of package arrivals to meet business needs and following up on lost/late packages.
  • Email communication with HQ business units when needed and feeding back UFO SLAs.
  • Support in meeting organization and leading huddles.
  • Properly updating Teams tracker and referencing it for information as needed.
  • Communicate UPS tracking numbers to Lush business units if sending materials via UPS or other small pack carriers (single/mass shipments).
  • Working with inventory team to problem solve inventory issues.
  • Working with Procurement and Procurement Support to address any stock shortages upon material receipt before assets begin shipping.
  • Completing delegated tasks assigned in a timely matter.

 

You bring the following QUALIFICATIONS:

Required:

  • Current Lush employee
  • Able to perform all required Distribution Associate duties
  • Able to do physical work for 8-hour shifts, on your feet and lift 50 pounds
  • Capable of physical activities such as standing for long durations, bending down, pulling, and pushing
  • Able to navigate email and MS Office suite and Google programs (i.e. Sheets, Chat, Meet)
  • Basic proficiency with MS Office, specifically Microsoft Excel
  • Basic proficiency with ERP systems (such as Microsoft AX)
  • Accustomed to working in a highly seasonal, high pressure work environment.
  • Able to effectively communicate with counter parts in other departments and facilities.
  • Good organizational skills as well as a strong ability to prioritize and delegate.
  • Able to work individually as well as in a team environment
  • Able to organize multiple tasks at the same time and establish priorities
  • Able to remain motivated and engaged in work
  • Confident with basic mathematics, ability to count, including addition and subtraction
  • Reliable, consistent attendance, punctual and dependable
  • Comfortable with reading, writing, and speaking English in order to communicate with peers and leadership on all platforms (i.e. in person, via email, via Google/Teams chat)
  • Comfortable providing and receiving feedback
  • Flexible to work all shifts and some holidays, overtime and weekends
  • Commitment to abide by and oversee health & safety regulations
  • Commitment to abide by and oversee our quality and good manufacturing practices
  • Comfortable safely navigating MHE on a regular basis
  • Excellent problem solving and communication skills

Preferred:

  • Previous experience processing shipments through UPS, Canada Post, FedEx.
  • Previous experience as a Dispatcher (seasonally or core)
