Sales Administrator

​​​​​​​Basic Purpose & role

The job holder is responsible for the administrative handling of all tasks to ensure total customer satisfaction. As a link between the related departments of DNBE, DENSO worldwide, the corresponding departments of the DNNE customers and other third parties the job holder pursues a smooth communication between them.

The job holder supports the Sales Team with relevant customer and competitor related sales and market information and coordinates and prepares sales plans.

​​​​​​​Nature and Scope:

Debtor Control

  • Controls outstanding invoices related to the customer unit and initiates corresponding countermeasures in the external and internal business network
  • Checks and controls correct invoicing by EU Headquarters Production Control and Finance & Accounting
  • Checks and controls booking by EU Headquarters Finance & Accounting
  • Initiates invoicing for manual deliveries / sales corrections / packaging etc.
  • Reports monthly outstanding status to TOP
  • Follows up on and assists in resolving accounts receivable related issues.

Sample Administration

  • Handles sample orders according to the current Quality Management (QM) system procedures: Purchase Order tracking, Sample Order Request processing, Delivery control
  • Updates and follows-up customer requirements and distributes related information to all related parties
  • Controls stock of samples in the warehouse
  • Checks and controls correct invoicing by Manufacturing plants and EU Headquarters Production Control
  • Submit and track sample requests
  • Handles daily issues related to prototype parts including ordering, negotiating delivery, price and payment. I doubt that the price is negotiated by Sales Administrator

Supply Chain Management

  • Inputs and controls master data in corresponding ERP system (customer, vendor and parts related data)
  • Inputs and controls price file in corresponding ERP system
  • Controls Purchase Order flow according to the current Quality Management (QM) system procedures
  • Controls vendor prices with manufacturing plants
  • Supports Sales in new business and new customer set up (EDI, business route, duty, VAT etc.)
  • Controls customers’ general terms and conditions (purchasing conditions, payment terms, duty terms, delivery terms)
  • Handles and controls sales price and vendor price provisions
  • Handles and controls invoicing of tooling and development costs to customer and vendor
  • Provides Sales result and forecast data by customer unit for ad-hoc and monthly reporting
  • Coordinates Sales Planning activities for customer units
  • Handles and controls customer portal administration for customer route sales headquarters globally
  • Controls user access to ERP system for Sales
  • Completes and tracks sales related paperwork (purchase orders, airfreight bills, etc.). 
  • Coordinate communication of any customer-related issues to sales executives, sales manager as appropriate
  • Assist in coordination of pre-production activities including processing orders, coordinating tooling, ensuring part readiness, etc.  Assists with program timing and related activities including design changes, part number changes, phase outs and packaging approvals.  these are partly logistics jobs
  • Track customer sales by customer unit, provision of data for the purposes of forecasting and actual sales

Education and experience

  • College or university education
  • At least first professional experience in Sales Administration

Individual qualifications:

  • Very good knowledge of English (both written and spoken)
  • Good knowledge and experience with PC and office standard software (Excel, SAP, ERP,…)
  • Ability to learn DENSO internal software
