About the role
To provide first class and exceptional visitor and customer experience to all who visit the D&B London Office. This role includes a variety of front-line services, including but not limited management of the reception desk and the provision of a wide range of clerical, general administrative and specialist duties in support of the Workplace team. In this role you will be providing D&B visitors and customers with their first and lasting impression and will be responsible for promoting a positive and exemplary customer experience and it is your responsibility to make our guests experience as welcoming and enjoyable as possible.
Key responsibilities
- Management of front of house and reception services
- To welcome and meet all incoming visitors at reception area in a professional and friendly manner, ensuring all visitor needs are met
- Oversee and manage meeting room requirements
- Coordinate onsite customer and internal events; liaising on all requirements including arranging meeting room layouts and catering assistance.
- Organise the end-to-end process of post, directing all on site deliveries and post for internal distribution, assisting with parcel collection and sending
- Order all stationery and consumables for the office and ensure areas are stocked and adequately and neatly kept and maintained
- Site Safety Security – championing site rules and environment; being the first point of contact for all safety and security enquiries.
- Responsible for the welcoming and site information documentation regularly updating with local information by liaising with local building management, restaurants/shops/fitness centre.
- Invoice payment and setting up new suppliers on Internal procurement system, understanding and adhering to D&B supplier onboarding.
- Assist in the coordination of auditor visitors and collation of documentation and other requirements, in preparation of, and throughout, their onsite visit.
- Submit and manage all requested facilities invoices for payment and perform other administrative duties as assigned.
- Work closely with the Facilities Manager and assist in ad-hoc and planned tasks as requested.
Key requirements
- 2+ years experience in a similar environment.
- Excellent customer service skills.
- Strong interpersonal skills with the ability to interact and communicate effectively.
- Works independently performing administrative functions with minimum amount of direction.
- Friendly approachable representative of D&B, ensuring our customers and visitors feel at home
- Excellent administration, and strong Microsoft office skills
- Excellent planning and organizational skills, which includes a high level of written and verbal communication skills
- Observe and voice of ‘doing the right thing’ to always follow site rules and regulations.
- Role based in Paddington
