POSITION PURPOSE:
Position has overall responsibility for overseeing the reception desk - answering phones, greeting guests and providing a professional and welcoming experience at the main reception desk, while providing administrative support services to CIM’s corporate or regional offices.

ESSENTIAL FUNCTIONS:

  • Oversee reception desk - answer main phone line, screen and direct calls, greet guests, and receive incoming packages.
  • Manage scheduling for conference rooms including coordinating catering services, meeting resources and logistics.
  • Point of contact for office vendors including building security and janitorial staff.
  • Manage office and kitchen inventory including ordering supplies within budget and from approved vendors as well as organizing and stocking supply room and kitchen.
  • Maintain general corporate office equipment including fielding and coordinating requests for service calls. 
  • Collect, prepare, and submit corporate invoices under the direction of the manager.
  • Handle non-urgent and urgent office matters.
  • Assist in the new hire desk set-up process. 
  • Assist in assigning and tracking employee parking assignments and access cards.
  • Other duties as assigned.

EDUCATION/EXPERIENCE REQUIREMENTS:

  • Bachelor’s degree is preferred.
  • 1+ years of experience in a fast-paced office environment; corporate experience is preferred.
  • Thoroughly proficient in MS Office: Word, Excel and Outlook. 
  • Friendly, people-oriented approach and the ability to interact effectively with customers and coworkers.
  • A strong sense of ownership and initiative. 
  • Must be able to lift and carry up to 25 lbs.

ABOUT YOU:

  • Professional demeanor when answering phone calls; ability to communicate to a wide variety of audiences including but not limited to vendors, maintenance, executive, investors, job candidates and other CIM staff members.
  • Ability to transcribe messages accurately and input the data immediately.
  • Ability to multitask and manage multiple activities by prioritizing them accordingly.
  • Ability to use appropriate discretion and tact in dealing with clients, management, supervisors, staff and vendors.
  • Ability to organize and prioritize tasks.
  • Ability to take initiative, be well organized and the ability to effectively solve problems.
  • Knowledge of answering multi-line phone system.
  • Knowledge and experience with office equipment maintenance (photocopiers, mailroom, equipment, printers, scanners, etc.).
  • Proficient with Microsoft Office software including Word, Excel, Publisher, and Outlook.
  • Prior knowledge in Nexus, Yardi, Salesforce, and UKG is a plus.

Actual base salary considers several factors including but not limited to geography, job-related knowledge, experience, and budget. The start of the salary range is typically associated with the minimum experience required. The role is considered non-exempt so will be eligible for overtime pay in accordance with federal and state law. At CIM, this role has the potential to receive a discretionary bonus in addition to base salary.
