Main Purpose:

This integral position requires a range of skills to successfully perform all the activities associated with representing Marken to visitors at our corporate Headquarters as well as being an effective team player and successful contributor to the administrative team.

The Office Administrator & Receptionist completes maintenance tasks with minimum supervision including but not limited to taking inventory, maintaining clean, tidy, and safe environment in the break room, storage room, reception area. In this role you'll also be greeting visitors appropriately, be hospitable, and determine each guest’s needs in a professional manner and direct them to the correct person. You'll be monitoring, managing, and limiting people entering and leaving a secure reception area following company policies and effectively supporting the Office Manager.

Other duties include but are not limited to:

  • Proactively become familiar with the firm through the company’s website, organizational chart and other material in order to accurately and effectively provide relevant information to callers and guests
  • Sort and distribute incoming mail and packages, prepare outgoing packages while accurately using the set guidelines
  • Scan and photocopy documents, print, punch, and bind books as requested
  • Maintain them in an organized filing system
  • Manage and update various databases in MS Excel including but not limited to cell phone tracking sheets, badge access list, etc.
  • Complete new hire office management checklist including but not limited to printing and activating badge for suite access, preparing new hire desks and name cards
  • Assist in organizing meeting rooms with necessary materials and equipment, maintain clean and tidy conference rooms throughout the day
  • Run errands, order, and pick up meals daily for EC members
  • Provide support to Marken team members and executives as needed

Job Requirements:

  • High school or equivalent (Preferred)
  • Proven track record with solid experience as a successful Administrative Assistant and Receptionist
  • Proficient in Microsoft Office, PowerPoint, Excel, and Outlook
  • Ability to learn with clear evidence of retaining and using gained knowledge and to follow instructions and execute tasks independently and accurately. Ask questions when in doubt.
  • Strong organizational skills with a knack for maintaining clean and neat environments as well as filing systems
  • Proactively identify problems and offer solutions
  • Detail-oriented with ability to analyze tasks and “see beyond the surface”, ability to think outside the box and offer suggestions for resolving problems
  • Excellent written and verbal communication skills and ability to accurately follow instructions
  • Ability to multi-task and prioritize ever-changing priorities while meeting deadlines
  • Work effectively and efficiently in a team environment, proactively report on project status and offer assistance to the team
  • Adapt easily and rapidly to change while maintaining a positive attitude
  • A quick study with ability to master the day-to-day office tasks and quickly establish themselves as a “go to” person
  • Take ownership of position and other delegated tasks and demonstrate passion for the success of the team and company at large
