We are currently seeking a dynamic and organised individual to join our team as a Receptionist. This role requires proficiency in both English and Polish, excellent organisational skills, and the ability to handle multiple tasks efficiently.
Responsibilities:
- Manage day-to-day office operations, ensuring smooth functioning and providing support to staff with daily administrative tasks
- Create, update, and maintain office and digital documentation in compliance with established standards
- Coordinate correspondence and ensure proper document circulation and archiving
- Maintain an efficient and orderly reception area
- Provide administrative and technical support for internal events, conferences, and meetings
- Collaborate with cleaning services and other office service providers
- Organise business travel arrangements, including flights, and accommodations, and provide emergency support when needed
- Handle mail distribution and coordinate with courier services
- Assist with vendor management and building administration
- Support employees with organisational matters and office supplies procurement.
- Coordinate local office events to foster team integration
- Manage office access control and maintain a database of access cards
- Assist with non-technical facilities tasks such as parking management
- Manage daily mail distribution and record incoming/outgoing correspondence
- Coordinate taxi services
- Assist with document production, printing, and scanning
- Process administration invoices
- Assist with document archiving.
Requirements:
- Proficiency in English and Polish (spoken and written)
- Strong organisational and multitasking skills
- Previous experience in office administration or receptionist roles
- Excellent communication and interpersonal skills
- Ability to work independently and as part of a team
- Proficiency in MS Office/Gsuite applications
- Attention to detail and problem-solving abilities.
