Reception Team Lead

Join Euromonitor’s vibrant London office (EC1) as our Office Administration & Front of House Lead! This full-time, on-site role is pivotal in maintaining our professional office environment and ensuring smooth operations. You’ll report directly to the Office Manager and embody Euromonitor Values in everything you do.

Key Responsibilities:

Team Management:

  • Develop and manage rotas to ensure full reception desk coverage.
  • Oversee the performance and development of two Receptionists, including setting objectives, conducting reviews, and appraisals.
  • Manage team holidays and absence reporting using Success Factors.
  • Ensure even distribution of workload across the team.

Office Admin/Front of House:

  • Operate the reception desk, greet visitors warmly, and guide them through the office.
  • Maintain the professional appearance of the reception area.
  • Manage the switchboard and relay messages within SLA timeframes.
  • Provide admin support for meeting room bookings, including managing room calendars to ensure availability.
  • Handle front-line security through managing door access fobs and lockers, providing these to new starters and issuing replacements.
  • Manage all incoming and outgoing post and deliveries.
  • Support the London office Desk Booking system.
  • Provide Executive Assistant services for the Senior Leadership team.
  • Communicate office updates to all or relevant staff members.
  • Report any faults or low stock of office equipment or supplies to the facilities team.
  • Assist with Health & Safety routines, including fire alarm testing and fire drills.
  • Perform ad hoc duties such as scanning and filing contracts, printing, and payment support.

Travel & Events:

  • Book, manage, and support all events within the office.
  • Organize and facilitate seasonal office gatherings.
  • Coordinate internal London events, including purchasing for new starter drinks, town halls, sales days, CSR socials, DEI panels, L&D training sessions, and ad hoc events.
  • Support offsite events when required.
  • Collaborate with the Tech support team for event requirements.
  • Manage the relationship with the Travel Management Company (TMC) for London.
  • Provide global administrative support for the chosen TMC.
  • Ensure travel training is offered for all London travelers, especially new starters.
  • Assist London staff with booking flights, hotels, transfers, visas, insurance, payments, and handle ad hoc travel issues.
  • Manage and enforce travel policies, conducting periodic reviews.
  • Monitor travel budgets, seek cost reductions, and perform invoice pre-approval checks.
  • Act as the secondary admin approver for London travel.
  • Provide monthly travel reports for London, offering feedback and highlighting issues.
  • Process senior leadership team expenses and credit cards on D365.
  • Ensure a smooth and accurate handover between shifts.
