Purchasing Assistant

Purchasing identifies and sources products from suppliers (domestic and international) that will consistently meet the company’s requirements for cost, quality, and timely delivery.  The position collaborates with senior management and sales to ensure that the product on hand fulfills company and customer needs.

CORE FUNCTIONS:

•       Practice and adhere to the established standard operating procedures and policies

•       Issues, reschedules, amends, or cancels purchase orders based upon company’s demands

•       Requests and inspects vendor product samples and pre-ship testing reports

•       Coordinates shipping and scheduling requirements with various locations, freight carriers/forwarders.

•       Collects data to evaluate, select, and monitor supplier performance for management reviews.

•       Evaluate data to optimize inventory stock levels and forecast demand to meet customer needs.

•       Maintains all supplier qualification and certification documents.

•       Regularly transmits and tracks open purchase orders and order acknowledgments with PGI suppliers

•       Verifies the accuracy of vendor invoices to purchase orders, and resolves discrepancies

•       Internal Relationships: Frequent interaction with all Company Departments

•       External Relationships: Maintains effective relationships with Suppliers, carriers, freight forwarders

•       Perform other duties as assigned

Requirements

•       1 year minimum recent experience as a Buyer/Purchaser in a manufacturing or logistics setting.

•       Experience with international purchasing and import logistics and documentation is preferred.

•       Experience buying herbs, spices, or botanicals in the food or beverage industries is a plus.

•       Results driven individual with strong organizational, analytic, multi-tasking, and negotiation skills

•       Excellent verbal and written communication skills, and able to conduct meetings to inform other Departments about supply chain issues.

•       Shows initiative, and a sense of urgency and applies problem-solving skills to ensure meeting deadlines

•       Interacts with staff & vendors with professionalism, mutual respect, integrity, and a can-do spirit.

•       Able to work independently with minimal supervision or in a team setting.

•       A high school diploma is required, and an associate's degree/bachelor’s degree in a related field is preferred.

•       Computer literate using Microsoft Office: Word, Excel, Outlook (will test proficiency before hiring)

•       Experience with Purchasing/Inventory related software, and ability to learn is preferred.

•       Experience using QuickBooks Enterprise is a plus.

OTHER:

•       Applicant must be authorized to work in the U.S.

•       Must be able to stoop, bend, stand, or squat as necessary and operate office equipment. Frequently lifts office items or product samples up to 10 lbs and occasionally lifts up to 20 lbs.

•       May occasionally travel to seek alt-suppliers or to stay informed of customer requirements.
