Role Overview
The Hotel Purchasing Agent is a key role in the organization, responsible for supporting all aspects of hotel purchasing for twelve of our vessels on a global scale. Our Purchasing Agents act as liaisons between the team and our vendors, managing orders, requisitions, and invoices, and using their strong negotiation and analytical skills to ensure the timely delivery of products.

General Responsibilities

  •  Fulfill approved requisitions for provisions, hotel equipment, and consumables across twelve vessels
  • Create purchase orders for approval, and push approved POs to pre-selected suppliers 
  • Coordinate fulfillment of orders and follow up on deliveries witih vendors  
  • Manage invoicing through review for accuracy (assure pack size, quantity, and prices match for the receiving vessels), approving, and following up with vendors to rectify pricing or payment term discrepancies
  • Manage a reorder schedule in the purchasing system, including containers and local orders 
  • Organize and maintain the ‘Commercial Invoices’ for multiple warehouses, assuring deliveries are accurate and complete 
  • Communicate with the vessels on requisition status, fulfillment, and delivery details  
  • Manage discrepancies for the vessels, obtaining credits when required  
  • Assist with updating and improving product specifications  
  • Assist with evaluating new suppliers and supply sources in local ports 
  • Work with hotel operations business owners to deal with discrepancies and substitutes in a timely manner, ensuring vessels receive what they need to operate and provide our guests with world-class experiences
  • Communicate with onboard personnel regarding requisition status and anticipated delivery details 
  • Support other purchasing & port operations personnel to provide departmental back up

Minimum Requirements

  • 2+ years of MS Office experience in a professional setting
  • 2+ years of experience working in Customer Service
  • Extremely strong communication skills, both written and oral
  • Strong process and SOP management skills

Using the English language, this person must have the ability to read, write, and comprehend policies, legal guidelines, correspondence, and memos.   Must also possess the ability to effectively communicate--both in writing and orally--with a professional demeanor. 
 
PHYSICAL DEMANDS 
While performing the duties of this job, the employee is frequently required to sit, talk and hear.  The employee will also be required to write and type.  The employee is occasionally required to stand, walk, and reach with hands and arms.  

COMPENSATION STATEMENT
Lindblad Expeditions determines the pay for positions using local, national, and industry-specific survey data. We evaluate external equity and the cost of labor/prevailing wage index in the relative marketplace for jobs directly comparable to jobs within our company. Our posted salary range is based on national data and may be refined for a candidate's region/town/cost of living.

For new hires, we strive to make competitive offers allowing the new employee room for future growth. Salaries will be based on the applicant’s location, level of experience, education, and specialized knowledge and skills. An employee/candidate with a stronger skill set will receive higher pay.
