Proposal Coordinator I

The Proposal Coordinator I supports the proposal process by managing three to four proposals at a time, collaborating with each team involved, and formatting information into easy to understand and designed according to Milhouse brand standards.

What you will do:

  • Collaboratively work across departments to create visually appealing, deal-closing proposals, often under tight deadlines.
  • Supports the proposal process semi-autonomously, reaching out to the Senior Proposal Coordinator or Proposal Manager for problem-solving.
  • Coordinate, and lead proposal schedules, kick-off meetings, reviews, production, etc. to ensure proposal success. Coordination may include external partners.
  • Coordinate and organize large amounts of technical information, including photography, subconsultant data, and marketing materials including brochures, posters, etc. 
  • Create and maintain staff resumes, project descriptions, and other marketing material.
  • Edit and proofread proposals, government forms, qualification packages, presentations, and other marketing material for both internal and external distribution.
  • Be a brand ambassador of Milhouse—ensure compliance with brand guidelines and design consistency.
  • Conduct CRM database queries as well as update and maintain project, employee, and client data in CRM database.
  • Provide excellent customer service. Respond promptly to client requests, meet commitments, and manage the demands of internal and external clients.
  • Work as a collaborative member of the Project Development team to maintain the vital information database of custom-created content for use on future projects.
  • Communicate effectively with Milhouse’s project leaders, gathering necessary data and insight.
  • Assist the team in developing dynamic client presentations that win jobs! 

What we are looking for:

  • Ability to lead special projects to develop and improve content outside of the RFP process.
  • Strong writing and editing skills, able to pull together disparate pieces of information into a cohesive final proposal.
  • Strong planning and organizational skills. 
  • Excellent vocabulary and ability to learn and apply technical terms quickly.
  • Ability to incorporate red-line edits accurately and efficiently.
  • Able to effectively communicate with a broad range of personalities across multiple departments.
  • Elevated level of attention to detail. 
  • The ability to prioritize and simultaneously process multiple tasks while still being mindful of the big picture.
  • Solid proficiency in Adobe InDesign.
  • Familiarity with Adobe Creative Suite.
  • Familiarity with InDesign.

Your background:

  •  Bachelor's degree preferred, but not required if you are a skilled writer (Communications, Journalism, English or Creative Writing) 
  • 0-2 years of related experience in marketing or communications required.
  • Previous experience in proposal preparation, especially with an Engineering firm preferred.
  • 1 year experience working with Deltek or other CRM software preferred.
