About the Role:
We are seeking a highly skilled and motivated individual to fill the combined role of Project Manager and Executive Assistant to the President. This multifaceted role involves overseeing the development of Unity game projects, ensuring the smooth day-to-day operations of our office, facilitating communication between our Japanese and international teams, while providing top-tier executive support to the President.
The ideal candidate will have a strong background in project management within the gaming industry and exceptional organizational skills to manage high-level executive support.
Responsibilities:
Project Management:
● Act as a central figure in the success of the Unity development team, fostering collaboration and maintaining a productive, effective work environment.
● Partner with leadership to ensure production requirements are defined, tracked, assess resource needs, and devise production schedules for all phases of development, launch, and maintenance
● Communicate project status, milestones, risks, and opportunities to internal stakeholders, managing expectations and aligning teams on project goals.
● Proactively identify and mitigate project risks, devising and implementing strategies to navigate challenges effectively.
● Track the performance metrics and velocity of the team and project deliverables.
● Utilize strong problem-solving skills to navigate through ambiguity and establish clear objectives and path forward.
Executive Assistance:
● Calendar Management: Manage the President’s calendar, including scheduling meetings, appointments, and domestic / international travel arrangements. Prioritize and organize the President’s time effectively.
● Administrative Support: Work as a strategic and collaborative partner to all executives, the Executive Support Team, and other cross-functional stakeholders. Oversee daily office operations, ensuring a productive and efficient work environment.
● Coordinate logistics: Manage expense reports, office supplies, equipment, and vendor relationships. Manage Time Card Reporting by processing time cards, and coordinating with payroll. Help onboard new employees and coordinate with Payroll / TA Operations on employee benefits administration. Coordinate with building management on office-related issues and improvements.
● Special Projects: Assist the President with special projects and initiatives including drafting reports, creating presentations, and handling confidential information with discretion. Assist in verbal translation during meetings, calls, and presentations as needed. Translation of documents when needed from Japanese to English & vice versa.
Qualifications:
● 5-8 years professional experience in a similar role.
● Must have directly supported a C- Suite Level executive.
● Expertise developing and enhancing processes and tools to improve team collaboration and efficiency.
● Exceptional project and people management skills, capable of setting and managing stakeholder expectations in a dynamic environment.
● Ability to juggle multiple priorities and work streams effectively
● Initiative, ownership, and a problem-solving mindset.
● A “roll up your sleeves” mindset to get any job done.
● Resourcefulness to make decisions with minimal guidance
● Proficiency with Google Suite, MS Office Suite (Word, Excel, PowerPoint) and familiarity with Slack preferred. Experience with project management software is a plus.
● Able to communicate in English & Japanese with strong translation skills in both written and spoken forms.
