Project Management (PMO) Internship

Want to be a key player in making projects happen? We're looking for an organized and driven PMO Coordinator Intern to support our project management team. You'll be the go-to person for keeping projects on track, ensuring clear communication across teams, and tracking essential documentation and invoicing. 

This role is about more than just paperwork; you'll be a vital link between project managers, internal teams, and external partners, helping to deliver successful projects. We need someone who's proactive, detail-oriented, and ready to jump in and make things happen. If you're looking for a hands-on role where you can learn and contribute, we'd love to hear from you. This role is a part-time position working roughly 25 hours a week onsite at our Milwaukee (WI) headquarters. 

What you’ll do:

  • Project Tracking & Reporting:
    • Manage the completion of the weekly Project Tracking Dashboards.
    • Take notes during weekly Project Tracking meetings and establish follow-up actions.
    • Coordinate the issue resolution tracking and ensure actions are closed out according to defined timelines.
    • Facilitate the coordination of steering committee meetings for red projects.
    • Validate PM checklist task completion and ensure that project standards are met.
  • Code Repository Management:
    • Oversee the management of code repositories (GitHub), ensuring updates and changes are tracked appropriately.
  • Project Management Communications:
    • Generate (when applicable) and distribute status reports to communicate project progress, risks, and actions to relevant stakeholders.
  • Managed Services Operations Support:
    • Oversee Boost and Small PuP operations.
    • Coordinate invoicing and manage hours tracking for projects.
    • Coordinate case management and client communications, ensuring client satisfaction.
    • Assist in resource management for ongoing projects.
  • Survey Coordination:
    • Coordinate the creation and distribution of Qualtrics surveys for partner feedback.
    • Enter projects into the partner portal and trigger surveys as necessary.
  • KPI Management:
    • Finalize weekly and monthly KPIs, ensuring accurate reporting.
    • Report team and practice KPIs to stakeholders, ensuring transparency and alignment with project goals.
  • Template Management:
    • Develop templates from established examples of repeatable assets for the team’s use.
    • Roll out the use of templates across the team and validate consistent adherence to template guidelines.
  • Pre-Sales to Delivery Handoff:
    • Ensure all materials are complete and properly documented before the project handoff to the Delivery team upon opportunity closure.
    • Ensure project folder structures are standardized and set up for PM handoff.
  • Invoicing & Project Setup:
    • Validate that Salesforce/AccountingSeed Project and Project Tasks are set up correctly and remain current for proper invoicing.
  • Team Onboarding & Contractor Management:
    • Coordinate the delivery onboarding process for new resources and contractors.
    • Own the contractor work order process, ensuring all contractor-related activities are tracked and processed.

What we look for:

  • Strong organizational skills with the ability to navigate multiple projects and priorities.
  • Excellent communication and interpersonal skills.
  • Experience working in project management or a PMO environment is a plus. 
  • Familiarity with GitHub or other code repositories, Jira, project tracking tools, and Salesforce is preferred.
  • Ability to analyze and report on project performance through KPIs and dashboards.
  • Detail-oriented with a focus on ensuring high standards are met.
  • Ability to collaborate with cross-functional teams and manage stakeholder relationships.
  • PMO / Project Management familiarity through study, independent research, or work experience.
  • Strong problem-solving skills and the ability to manage project risks.
