As a Project Control Office Specialist at VASS, you will play a crucial role in planning and steering projects and development teams. You will be responsible for ensuring compliance with project specifications, synchronizing activities, and aligning teams to product results. You will also provide technical consolidation, develop proposals for work prioritization, and support Agile processes.

Key Responsibilities:

Project Coordination:

  • Assist in the planning and steering of projects and development teams.
  • Track compliance with project specifications and milestones.
  • Provide advice on synchronization and coordination of activities.
  • Technically consolidate topics within and between teams.
  • Align teams to product results, including objectives, delivery, artifacts, and collaboration.
  • Decide on and implement recommendations for action.

Legal & Compliance:

  • Obtain information on legal issues, data protection, and compliance.

Work Package Management:

  • Develop proposals for prioritizing and defining new and subsequent work packages.
  • Identify potential improvements and impediments, actively proposing solutions.
  • Coordinate, implement, prepare, and follow up on appointments and workshops.

Agile Environment:

  • Participate in Agile processes such as PI planning, JIRA, and Confluence maintenance.
  • Moderate meetings and provide support with change management.
  • Monitor internal collaboration to establish and expand the Agile mindset.
  • Provide regular feedback and coaching of stakeholders if required.
  • Onboard new teams and stakeholders to generate a common mindset.
  • Support the setup of Agile teams to enhance project/product efficiency.

Project Planning:

  • Assist in creating an overall project plan with product owners and implementation teams.
  • Guide the team in the use of supporting tools.

Requirements & Change Management:

  • Record and analyze technical requirements and changes.
  • Assist with requirements specification and validation.
  • Break down requirements into work packages and control them.
  • Track requirements throughout the development process.

Portfolio Management:

  • Support the analysis, planning, and development of a project portfolio.
  • Collect new trends, feedback, ideas, and requirements.
  • Develop a system for prioritizing projects and decision-making processes.
  • Analyze and optimize resource usage at the portfolio level.
  • Monitor individual project progress and manage dependencies.

Information Management:

  • Support the optimization of information flow and communication.
  • Document and develop a reporting system for internal and external reporting.
  • Assist in communication with brands/Group (interface management).
  • Plan, create, and coordinate documents.
  • Create and maintain document structures according to guidelines.

Reporting:

  • Report on schedule, scope, and budget; track the critical path.
  • Present maturity levels and track in projects.
  • Support the analysis of implementation progress with Agile methods.
  • Coordinate and present final project results.
  • Collect and document project progress for stakeholders.
  • Maintain project status and progress.

Risk Management:

  • Document risks and measures in accordance with specified processes.
  • Track the implementation of measures within the risk tickets.
  • Evaluate and potentially further develop the risk process.

Methodologies & Standards:

  • Establish and ensure uniform project management standards and quality.
  • Introduce uniform project standards and templates across projects.

Qualifications:

  • Proven experience in project management, preferably in a technical or Agile environment.
  • Strong understanding of Agile methodologies and tools (e.g., JIRA, Confluence).
  • Excellent organizational and coordination skills.
  • Ability to analyze and optimize processes.
  • Strong communication and interpersonal skills.
  • Experience with risk management and requirements analysis.
  • Proficiency in project management software and tools.
  • Ability to work independently and as part of a team.
