Academic Services is focused on supporting SAIT’s schools and departments in their pursuit of SAIT’s strategic priorities. The Opportunity
This position offers administrative support for the Academic Upgrading (AU) program within Academic Services. Academic Upgrading offers high school equivalency courses in mathematics, English, biology, chemistry, and physics. These courses prepare students for admission into SAIT main programs and are also accepted for admission purposes by other Alberta post-secondary educational institutions.
Reporting to the Manager, of Administrative Operations, the Administrative Assistant works closely with the Academic Chair and AU advising team to ensure that the daily operation of the AU program runs effectively and successfully.
The Role
- Acts as the first point of contact for the Academic Upgrading program providing exceptional service to internal and external contacts and providing administrative support directly to the AU program and Academic Chair.
- Create and maintain program information documents.
- Responsible for maintaining accurate course and instructor information for the department’s loading book, assisting with data entry for course and instructor loading on SAIT’s DCU system, and communicates with Instructors regarding their schedules.
- Create reports and provide analysis of student data to aid the AU Academic Chair with program decisions.
- Coordinates the planning of various meetings and events, including scheduling, minute-taking, booking rooms and equipment, catering, and making travel arrangements if needed.
- Format and gathers information for internal and external communications, including memos, emails, presentations, grants, marketing initiatives and reports for the Academic Chair.
- Supporting the financial responsibilities of the Academic Upgrading portfolio, such as paying invoices, credit card reconciliation, processing expense reports, and maintaining an in-depth knowledge of SAIT's FOAPAL codes to ensure proper coding of all financial documents
- Works closely with the other administrative assistants to provide business continuity across portfolios, working as an integral part of the team, and initiating a unified and shared approach to work.
- Collaborates closely with the Academic Chair to address student concerns, student requests, schedules meetings, and supports communication needs.
- Work with the Academic Chair on recruitment initiatives such as attending internal and external events including information sessions and open house events
Qualifications
- Bachelor’s degree or higher or equivalence of experience and education will be considered.
- Minimum of 2-3 years' experience
- Experience in post-secondary or adult education would be an asset
